Job Overview

We are seeking a dynamic and highly organized Receptionist/Administrative Assistant to join our team! This vital role combines front desk responsibilities with comprehensive administrative support, ensuring smooth daily operations and exceptional client interactions. The ideal candidate will be energetic, detail-oriented, and possess a passion for delivering outstanding customer service. You will be the first point of contact for visitors and clients, managing communications, scheduling, and office management tasks with enthusiasm and professionalism. This paid position offers an exciting opportunity to grow your administrative skills in a fast-paced environment dedicated to excellence.

Duties

Greet visitors warmly, answer multi-line phone systems efficiently, and direct calls with professional phone etiquette.
Manage front desk operations including scheduling appointments, maintaining calendars, and coordinating meetings.
Handle data entry tasks accurately using spreadsheets, Microsoft Office applications, and Google Workspace tools.
Maintain organized filing systems, process incoming and outgoing correspondence, and ensure documents are proofread for accuracy.
Support office management activities such as inventory tracking and supply ordering.
Assist with client communication by providing excellent customer support via phone, email, or in person.
Perform clerical duties including photocopying, faxing, word processing, and maintaining office cleanliness to promote a productive workspace.

Skills

Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel), Google Workspace, and productivity software.
Excellent organizational skills with the ability to multitask effectively in a busy environment.
Experience with multi-line phone systems and professional phone communication skills.
Bilingual abilities are a plus to serve diverse client needs effectively.
Previous office experience including data entry, filing, and clerical tasks is highly preferred.
Knowledge of medical or dental receptionist duties is advantageous but not required.
Demonstrated ability in time management, proofreading, and maintaining high levels of accuracy in all tasks.
