The Office Assistant/Floater provides administrative, clerical, operational, and student support to ensure the effective daily functioning of Dr. Howard Fuller Collegiate Academy (HFCA).
The position is primarily based in the school office and serves as a flexible resource to support the needs of the campus. The Office Assistant/Floater assists with front-office operations, student and family services, and administrative tasks. Based on daily staffing and operational needs, the position may also provide temporary classroom support, student supervision, or coverage in other areas of the building.
This position requires flexibility, professionalism, strong organizational skills, confidentiality, and the ability to transition between responsibilities throughout the school day.
Front Office & Clerical Support

Provide daily administrative and clerical support to the school office and leadership team.

Welcome students, families, staff, visitors, and community members in a professional and customer-service-oriented manner.

Answer and direct incoming telephone calls and respond to general questions within the scope of the position.

Assist with student check-in and check-out, late arrivals, early dismissals, and other front-office processes.

Support the maintenance of accurate attendance records and related documentation.

Complete copying, scanning, filing, data entry, document preparation, and other general office tasks.

Assist with preparing and distributing school communications, forms, student materials, and other documents.

Maintain organized electronic and physical files.

Assist with scheduling, calendars, meetings, and other administrative needs as assigned.

Maintain confidentiality when handling student, family, employee, and organizational information.
Floater & Campus Coverage

Provide front-office coverage during staff breaks, meetings, absences, or other periods when additional support is needed.

Provide temporary classroom support or coverage when an Education Assistant or other support staff member is unavailable.

Assist teachers with classroom organization, instructional materials, and student needs when assigned.

Support student supervision during arrival, dismissal, breakfast/lunch, recess, passing periods, hallway transitions, assemblies, and other schoolwide activities.

Provide additional support during staff shortages or other unexpected operational needs.
Student & Family Support

Provide students and families with courteous and professional assistance.

Direct students and families to the appropriate staff member or department when additional assistance is required.

Assist students who report to the main office for routine needs while following established school procedures.

Support positive student behavior and reinforce HFCA expectations throughout the building.

Maintain appropriate professional boundaries with students.

Immediately communicate student safety, behavioral, or other significant concerns to the appropriate staff member or school leader.

Support a welcoming, safe, organized, and student-centered school environment.
School Operations & Events

Assist with schoolwide events, family events, professional development, enrollment activities, and other campus initiatives as assigned.

Support the preparation and organization of materials for meetings, events, and school programs.

Assist with maintaining an organized and professional front-office environment.
-
Help monitor and maintain office and school supplies and communicate supply needs to the appropriate staff member.

Participate in required meetings, professional development, training, and school activities.

Follow established procedures related to visitors, student release, emergency situations, and campus safety.

Perform other duties consistent with the purpose and responsibilities of the position as assigned.

High school diploma or equivalent.

Basic computer proficiency, including email, word processing, spreadsheets, and electronic recordkeeping.

Previous administrative, clerical, or customer service experience.

Previous experience in a school, childcare, or student-support setting.
