Job Summary

The Accountant oversees and directs all financial operations of the Club, ensuring the integrity, accuracy, and strategic use of financial information. This role serves as a key business partner to the General Manager and leadership team, providing insight and guidance on cash management, forecasting, budgeting, internal controls, and long-term financial planning. The Accountant develops and administers accounting, auditing, tax, and financial control policies, while also overseeing human resources administration related to hiring and benefits enrollment. This position prepares comprehensive financial statements, forecasts, and analyses; evaluates operational performance; and serves as the primary liaison to the Finance, Audit, and Employee Benefits Committees. The role includes leadership and professional development of the accounting staff.

Essential Duties and Responsibilities

Financial Leadership & Strategy

Partner with the General Manager and department heads on strategic financial planning, cash management, forecasting, and cost-benefit analysis.
Evaluate operating results, trends, budgets, revenues, and costs to identify efficiencies and opportunities for improved financial performance.
Maintain and manage the Club’s investment program, ensuring excess funds are invested appropriately to optimize cash flow.
Monitor cash flows and safeguard all Club funds, ensuring timely and accurate deposits and disbursements.

Accounting, Reporting & Compliance

Direct and/or prepare monthly financial statements, including income statements, balance sheets, statements of changes in financial condition, and supporting schedules for operating and capital funds.
Maintain the general ledger and all supporting accounting records, including receivables, payables, payroll, bank accounts, fixed assets, and depreciation schedules.
Prepare or supervise preparation of all applicable federal, state, and local tax filings, including annual 1099s.
Compile financial reports and analyses for the Board of Directors, Executive Committee, Finance Committee, and other committees as required.
Reconcile bank statements, house banks (petty cash), and all balance sheet accounts on a monthly basis.
Ensure confidentiality and integrity of all financial, member, and employee information.

Internal Controls, Auditing & Risk Management

Design, implement, and manage internal control systems and internal audit programs to ensure compliance with established policies and procedures.
Coordinate with external auditors to ensure accurate, timely, and policy-compliant audits.
Monitor receiving, inventory, and storeroom controls to ensure consistency and accountability.
Direct and verify inventories of food, beverage, supplies, equipment, furnishings, and other Club assets.
Maintain insurance records for all Club property and meet with insurance brokers as needed.

Billing, Collections & Member Accounts

Oversee member billing, collections, and account reconciliation processes.
Monitor and manage past-due accounts, advising the General Manager and Board on sensitive situations and following through on collections and bad debt in accordance with Club policy.
Audit member and guest charges, cash sheets, and all cash and charge expenditures to ensure accurate posting and reporting.
Administer annual and periodic billings, including lockers, storage, pool teams, handicap fees, assessments (general and capital), and hole-in-one charges as required.

Systems, Technology & Administration

Manage, evaluate, and recommend improvements to automated financial management, accounting, computer, and telecommunications systems.
Ensure the integrity, security, and reliability of all financial and accounting systems.
Compile, review, and maintain vendor credit applications and records.

Human Resources & Staff Management

Administer HR-related accounting functions, including hiring support and employee benefits enrollment.
Select, train, schedule, supervise, evaluate, and mentor accounting staff.
Plan and implement ongoing professional development and training programs for the accounting team.
Attend monthly Finance Committee meetings and other meetings as required.

Job Knowledge, Core Competencies & Expectations

Strong cash flow management and financial analysis skills.
Advanced ability to calculate and analyze figures related to accounting, payroll, budgets, and statistical data.
Ability to read, analyze, and interpret financial reports, professional publications, and governmental regulations.
Clear and effective communicator, capable of identifying issues and driving corrective action from implementation through follow-up.
Knowledge of investment management and analysis of returns.
Work in a collaborative environment with other department heads
Communicate effectively with all audiences of the Club.
Working knowledge of retirement plans and employee benefit programs.
Understanding of applicable federal and state employment laws.
Ability to perform assigned responsibilities during emergency situations.

Education & Experience

Bachelor’s degree from an accredited four-year college or university with a major or minor in Accounting, Finance, Business Administration, or a related field; coursework in financial analysis and auditing required.
Minimum of five (5) years of professional accounting experience.
Prior experience supervising accounting staff strongly preferred.
Experience overseeing or working closely with information technology systems preferred.

Licenses & Certifications

Certified Hospitality Accounting Executive (CHAE) preferred or actively pursuing certification.
Certified Public Accountant (CPA) preferred or actively pursuing licensure.

Physical Demands & Work Environment

Ability to sit for extended periods and perform occasional reaching, bending, stooping, and standing.
Ability to lift up to 40 pounds as needed.
Work environment includes a moderate noise level typical of an office setting.
