Full Job Description

Are you the kind of person who can open QuickBooks, quickly spot what needs attention, and take pride in keeping every detail accurate and organized?

A privately held company in Wilson is seeking an experienced Senior QuickBooks Bookkeeper & Administrative Coordinator. This hands-on position combines day-to-day bookkeeping with administrative support, scheduling, recordkeeping, and deadline coordination.

What You’ll Do

Maintain accurate and current financial records in QuickBooks.
Enter and properly classify daily transactions.
Reconcile bank accounts, credit cards, loans, and other accounts.
Manage accounts payable, accounts receivable, invoices, and vendor records.
Review and correct duplicate, uncategorized, or incorrectly classified transactions.
Maintain an organized chart of accounts and supporting financial documentation.
Prepare profit-and-loss statements, balance sheets, cash summaries, and other routine reports.
Assist with budgeting, cash-flow tracking, payroll coordination, and month-end and year-end processes.
Provide complete and organized records to outside accounting professionals.
Maintain calendars, schedules, files, and recurring deadline reminders.
Coordinate appointments, meetings, vendors, and time-sensitive requests.
Track open assignments and follow up to ensure deadlines are met.
Assist company leadership with reporting, expense tracking, and special projects.
Protect confidential financial, personnel, and company information.

What We’re Looking For

At least five years of hands-on bookkeeping experience.
Advanced proficiency with QuickBooks Online, QuickBooks Desktop, or both.
Strong experience with reconciliations, accounts payable, accounts receivable, and financial reporting.
Ability to identify and correct common QuickBooks errors.
Proficiency with Microsoft Excel or Google Sheets.
Exceptional attention to detail and organizational skills.
Strong communication, recordkeeping, and follow-up abilities.
Ability to work independently and manage competing priorities.
Professionalism, reliability, and discretion when handling confidential information.
Ability to work full-time on-site in Wilson, North Carolina.

Preferred Experience

Cleaning up, reorganizing, or improving an existing QuickBooks file.
Supporting a privately held business or leadership team.
Working with multiple business entities.
Coordinating with CPAs, payroll providers, vendors, and other professional service providers.

Pay: $28.50 - $35.00 per hour
