Office Manager

Thompson's Landscape Maintenance
Grand Junction, CO

Thompson's Landscape Maintenance is looking for an organized, customer-focused Office Manager who thrives in a fast-paced environment and enjoys being the hub of a growing business. This is a hands-on role where you'll work closely with our leadership team, support our field crews, and help deliver an exceptional experience for our customers.

What You'll Do

As our Office Manager, you'll oversee the company's daily administrative operations while supporting customers, employees, and management.

Customer Service & Office Operations

Serve as the primary point of contact for customers by phone, email, and in person
Schedule estimates, maintenance visits, and service appointments
Communicate schedule changes, weather delays, and customer updates
Maintain customer records and ensure exceptional customer service
Manage office supplies, filing systems, and daily office operations
Coordinate meetings and administrative projects

Operations Support

Coordinate daily schedules for lawn maintenance crews
Assist with route planning and dispatching
Monitor job progress and adjust schedules as needed
Coordinate equipment maintenance and vendor appointments
Support seasonal staffing and operational planning

Accounting & Payroll

Prepare and send customer invoices
Process customer payments and manage accounts receivable
Handle accounts payable and vendor payments
Reconcile bank and credit card statements
Collect and verify employee timecards
Process payroll accurately and on time

Human Resources & Compliance

Assist with onboarding new employees
Maintain personnel files and employee documentation
Coordinate benefits and workers' compensation paperwork
Schedule interviews and support hiring efforts
Maintain business licenses, insurance records, OSHA documentation, vehicle registrations, and company certifications

What We're Looking For

We're looking for someone dependable, organized, and who enjoys working with both people and processes.

Qualifications

High school diploma required (Associate's or Bachelor's degree preferred)
3+ years of office management or administrative experience
Experience in landscaping, construction, agriculture, or another service-based industry is preferred
Excellent organizational and multitasking abilities
Strong customer service and communication skills
Experience with QuickBooks or similar accounting software
Proficiency with Microsoft Office (Excel, Outlook, and Word)
Ability to maintain confidentiality and manage sensitive information

Bonus Qualifications

Payroll processing experience
Bookkeeping or accounting knowledge
Dispatching and scheduling experience
Experience with CRM or field service management software
Spanish-speaking ability
Knowledge of lawn maintenance or landscaping operations
