Full Job Description

The Commercial Construction Project Administrator plays a vital role in supporting the Project Manager and ensuring the smooth execution of construction projects. This position is responsible for organizing contracts, coordinating with clients, communicating with subcontractors, monitoring project progress, and providing comprehensive administrative support. A significant portion of this role involves accounting-based tasks and financial management, demanding a detail-oriented individual with exceptional organizational and communication skills.

Responsibilities

Contract Administration: Prepare, review, and manage construction contracts and related documents. Track contract changes, amendments, and compliance to ensure accuracy and completeness.

Accounting and Financial Management: Process subconsultant and subcontractor invoices, purchase orders, and reports. Reconcile client contract/ subcontract accounts, and assist with financial tracking and reporting, updating job budgets, AR and AP invoices. Coordinate with accounting departments to ensure timely payments to vendors and subcontractors.

Client Coordination: Serve as a primary point of contact for clients, scheduling meetings, distributing project updates, and addressing inquiries in a timely and professional manner.

Subcontractor Communication: Liaise with subcontractors regarding contracts, schedules, deliverables, and payment status. Ensure all parties are informed of project requirements and deadlines.

Project Progress Monitoring: Maintain project documentation, update schedules, and track milestones.

Administrative Support: Organize and maintain electronic and physical project files; assist with document control and archiving. Support the Project Manager with day-to-day administrative tasks.

Compliance and Record Keeping: Ensure all project documentation complies with company policies, local regulations, and industry standards.

Reporting: Generate regular financial & project status reports for management review.

Additional duties as directed by supervisor.

Required Qualifications

2+ years of administrative experience in construction or related industry;

Proficiency in accounting software (such as QuickBooks, Sage, or equivalent) and Microsoft Office Suite (Word, Excel, Outlook).

Knowledge of construction contract terms and project documentation standards.

Exceptional attention to detail and organizational skills.

Excellent written and verbal communication abilities.

Ability to work independently and collaboratively in a fast-paced environment.

Strong problem-solving and multitasking abilities.

Preferred Qualifications

Degree or Certifications in Construction Management or related field.

Direct experience with contract and document management.

Proficient with Spectrum Viewpoint accounting software.

The ability to speak both English and Spanish.

Consistent work schedule Monday – Friday, 8 am-5 pm, with flexibility when needed.

Working Conditions

Full-time office-based, occasional construction site visits may be required.

Additional hours may be necessary to meet project deadlines, although the role is exempt from overtime pay.

Ability to adapt to constant changes in priorities and assigned tasks due to the dynamic nature of construction projects.

Interaction with clients, subcontractors, and project team members daily.

Mental & Physical Requirements

High level of concentration to produce accurate and detailed drawings.

Ability to handle stress and meet tight project deadlines.

Effective communication skills for collaboration with team members and clients.

Attention to detail and a methodical approach to ensure precision in all tasks.

Flexibility to shift focus and manage changes in tasks and priorities effectively.

Ability to sit for extended periods with frequent use of computers & office equipment.

Occasional lifting of materials and equipment up to 25 pounds.
