Full Job Description

Job Summary

We are seeking a proactive and detail-oriented Accounts Receivable Specialist to join our dynamic finance team. In this vital role, you will manage the full cycle of accounts receivable processes, ensuring timely collection of outstanding invoices and maintaining accurate financial records. Your expertise will support the company's cash flow management and foster positive client relationships. The ideal candidate is energetic, highly organized, and possesses a strong foundation in accounting principles, financial software, and customer service. This position offers an exciting opportunity to contribute to a fast-paced environment where your skills in accounting systems and data analysis will drive operational success.

Responsibilities

Manage accounts receivable processes, including invoicing, payment processing, and account reconciliations using accounting software such as QuickBooks, Sage, or PeopleSoft
Monitor aging reports to identify overdue accounts and initiate collections activities with clients via phone, email, or written correspondence
Perform detailed analysis of account data using Excel formulas and spreadsheets to identify discrepancies or trends requiring attention
Collaborate with the billing department to ensure accurate invoice generation aligned with GAAP (Generally Accepted Accounting Principles) standards
Reconcile customer accounts regularly to ensure accuracy of debits & credits, journal entries, and account balances
Maintain comprehensive records of all collection efforts, payment histories, and correspondence for audit purposes in compliance with SOX (Sarbanes-Oxley Act) controls
Assist with month-end closing activities by preparing journal entries related to accounts receivable and performing account analysis to support financial reporting

Experience

Proven experience in accounting and finance roles with a focus on accounts receivable management or collections account management
Familiarity with QuickBooks Online
Demonstrated ability to perform Excel data analysis using formulas and spreadsheets for account reconciliation and report generation
Excellent communication skills for effective client interaction and customer service; phone etiquette is essential
Ability to handle multiple tasks efficiently with high attention to detail in data entry and account analysis
