Full Job Description

Job Summary
We are a new family-owned, faith-based, residential building and remodeling company, seeking a highly ethical, trustworthy, organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will provide essential support to our office operations, ensuring smooth day-to-day functioning. This role requires excellent clerical skills, strong customer service abilities, and skills in QuickBooks Online Software Programming and office management tasks. The Administrative Assistant will be responsible for managing communications, maintaining records, and assisting with various administrative duties.

Responsibilities

Perform clerical duties including filing, data entry, and document preparation.
Manage incoming and outgoing communications via phone systems and email. Yes, you must be able to make phone calls and talk on the phone and not just text people.
Provide exceptional customer support by addressing inquiries and resolving issues promptly.
Assist in organizing office operations and procedures to enhance efficiency.
Maintain an organized filing system for both physical and electronic documents.
Schedule appointments and manage calendars for team members as needed.
Manage QuickBooks operations and programming and documentation.
Collaborate with team members on various estimating projects to ensure timely completion of tasks.

Qualifications

Proven experience in a construction administrative or clerical role is preferred.
Strong organizational skills with the ability to prioritize tasks effectively.
Excellent customer service skills with a friendly demeanor.
Proficient in using office software applications or the intelligence to learn quickly (e.g., Microsoft Office Suite). You must be able to very familiar and comfortable using technology. Less paper, less waste. More digital.
Familiarity with office management procedures and practices.
Ability to operate standard office equipment efficiently.
Strong communication skills, both verbal and written.
Experience as a personal assistant who has working knowledge of residential construction and remodeling processes and terminology is a huge plus.
