Job Overview

We are seeking a dynamic and organized Front Desk Associate to be the welcoming face of our organization. In this vital role, you will manage front office operations, provide exceptional customer service, and support administrative functions to ensure smooth daily activities. Responsibilities

Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette
Handle scheduling tasks such as calendar management and appointment setting with accuracy and timeliness
Maintain organized filing systems, update spreadsheets, and perform data entry tasks with precision using productivity software like Microsoft Office and Google Workspace
Support office management duties including inventory tracking, supply ordering, and basic bookkeeping using QuickBooks or similar tools
Assist with clerical tasks such as proofreading documents, word processing, and managing correspondence
Provide excellent customer support by addressing inquiries, resolving issues, and ensuring client communication is clear and professional

Requirements

Proven experience in office management or administrative roles, preferably as a receptionist or personal assistant in a fast-paced environment
Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel), Google Workspace, spreadsheets, and data entry skills
Excellent organizational skills with the ability to multitask effectively and prioritize responsibilities
Exceptional communication skills, both verbal and written, including phone communication and client interaction
Bilingual abilities are highly desirable to serve diverse client needs effectively
Familiarity with multi-line phone systems, clerical procedures, filing systems, and office equipment
Experience with bookkeeping software such as QuickBooks is a plus
Demonstrated ability to handle sensitive information discreetly while maintaining professionalism
Strong time management skills with the ability to work independently and as part of a team
