First Congregational Church of Greeley is an Open and Affirming congregation of the United Church of Christ. Position: Administrative Assistant
Reports To: Associate Minister for Youth & Congregational Connection
Time: 26-28 hours/week, incl. Monday - Thursday, 9am - 3pm
Remote Eligible: No
Classification: Part Time, Non-Exempt
Compensation: $24-$25/hour, equating to $32,448 - $36,400 annually
Role Responsibilities
Office Oversight
- Warmly welcome and respond to all who arrive to our doors and connect with appropriate people or resources, embodying our leading value: Extravagant Welcome
- Answer phones and respond to general email inquiries, properly routing inquiries to appropriate people or resources
- Serve as the team lead of the administrative volunteer team
- Procure and maintain all office supplies and equipment and ensure that they are stocked, organized, and in good working order
Produce Regular Communications & Support Communications Strategy
- Maintain administrative documents used by staff to plan and carry out worship and communications initiatives
- Effectively produce all church-wide communications such as worship support materials, newsletters, and annual reports
- Assist Associate Minister for Youth and Congregational Connection with managing the church’s online presence via website (Wix), email platform (Mailchimp), social media (Facebook & Instagram), and YouTube.
- Update the church’s digital signage, taking advantage of drive-by exposure to communicate the church’s values and generally uplifting messaging
- Produce promotional materials as directed by supervisor
Support Volunteer Development Strategies and Needs
- At the direction of your supervisor, undertake tasks and projects that support the ongoing development of volunteer engagement strategies
- Schedule volunteers by phone, email, text, etc. as directed by your supervisor
- Maintain volunteer lists using the church’s preferred tools
Building Use & Rental
- Track lease renewal dates for long-term rentals and alert Trustees to upcoming lease renewals
- Respond to long-term renters as needs arise
- Respond to rental inquiries and coordinate/lead on-site tours for prospective renters
- Communicate building use policies and fees to ensure expectations of use of space are clear
- Complete bookings, including calendaring, contracts, communication for billing with bookkeeper, etc.
- Ensure access instructions, building use policies, and expectations have been coordinated and communicated
- Ensure appropriate staff are scheduled for events and that rooms are clean, ready, and set up as promised
- Some events require staff to be on-site and compensate staff for such work. This compensation is outside of the scope of this work, but this role is given the right of first refusal to work those additional events for additional pay.
Congregational Life Support
- Maintain membership, attendance, church calendar, and other critical records
- Create congregational name tags
- Produce the church directory
- Oversee all card connection programs - birthdays, thank yous, new members, prayers, etc.
- Provide Zoom links as requested
Maintain and file all personnel and human resources related administrative tasks
- Maintain personnel files and required employment paperwork
- Administration of benefits
- Scheduling training (first aid, CPR, van certification, etc)
- Background checks
- Employee onboarding and offboarding
Assist with the coordination and oversight of facility maintenance, in collaboration with Facilities Manager and Minister Head of Staff
- Schedule regular maintenance and repairs for the facility and keep record of all items which require regular maintenance schedules
- Document all maintenance and upgrades and retain pertinent records, such as warranties and manuals

- Demonstrates excellent organization, attention to detail, and communication skills
- Experience in a role with competing demands on your time and proven ability to prioritize tasks while meeting all critical deadlines
- Flexible and adaptable to supporting changing priorities in a people-first environment and responding to immediate needs
- Willingness to follow instructions of the supervisor, while also holding the ability think critically and make independent decisions as delegated
