About Northline Psychiatry

Northline Psychiatry is a new specialty psychiatric practice serving East Lyme and the southeastern Connecticut shoreline. We combine psychiatric medication management with individual therapy under one roof and are in-network with most major commercial insurance plans. Our clinical team is led by a board-certified psychiatric nurse practitioner and a licensed clinical social worker, with physician-level medical direction.

About the Role

The Office Manager is the operational anchor of Northline — the first voice new patients hear, the face they see when they walk in, and the person who keeps clinical days running on time. You'll own front-desk operations, patient onboarding, insurance verification, scheduling, and billing follow-up. Over the coming months, as we launch our Spravato (esketamine) program, this role will expand to include part-time Spravato technician responsibilities — we'll provide full training and REMS certification.

Core Responsibilities

Front-desk operations.

Answer incoming calls, respond to voicemails, and route inquiries
Greet and check in patients, verify identity, collect copays, keep the waiting area calm and welcoming
Monitor the practice inbox and secure messaging platform
Maintain office supplies, cleanliness, and light vendor coordination

New patient onboarding.

Complete phone intake for new patients — collect demographics, insurance, chief complaint, and appointment preferences
Verify insurance benefits and communicate coverage/copay expectations before the first visit
Send intake packets through the practice management system

Scheduling and calendar management.

Book, reschedule, and confirm appointments across both clinicians' calendars
Monitor no-show and cancellation patterns; run reminder outreach and rebook proactively
Maintain the cancellation list and fill open slots when patients cancel
Flag scheduling risks and capacity constraints to the CEO

Billing and revenue-cycle support.

Follow up on outstanding patient balances and denied claims
Coordinate with clinicians on documentation needed for claims and appeals
Track prior authorizations and refill requests through to completion

Care coordination.

Route inbound faxes and referrals to the appropriate clinician
Coordinate with pharmacies, labs (Quest, Labcorp), and outside providers as needed
Support the Crisis and Suicide Risk Protocol as directed by the clinician on duty

Spravato Technician Responsibilities (Future)

As we launch our Spravato (esketamine) program later this year, this role will expand to include Spravato tech duties on treatment days. Full training and REMS certification will be provided. Duties will include:

Prepare the treatment room and required documentation before each session
Monitor the patient via brief check-ins during the 2-hour post-administration observation period
Document vitals and observations per FDA SPRAVATO REMS requirements
Coordinate discharge clearance with the treating clinician
Maintain REMS-compliant records and controlled-substance logs

Required Qualifications

High school diploma or equivalent; associate's degree or higher preferred
1–3 years of medical office or healthcare administrative experience (behavioral health experience a plus)
Comfortable with electronic health records
Strong phone presence — calm, warm, professional under pressure
Excellent written communication and attention to detail
Ability to handle sensitive clinical and financial information with discretion
HIPAA-aware
Willing to complete Spravato training when the program launches

Preferred Qualifications

Prior experience in a psychiatric, mental health, or behavioral health setting
Familiarity with commercial insurance verification
CNA, MA, LPN, or similar clinical credential

Schedule and Compensation

Employment type: Full-time, exempt (W-2)

Schedule: Monday–Friday, 8:00 AM to 5:00 PM, on-site at 170 Flanders Road, Unit B1, Niantic, CT

Compensation: $45,000–55,000 annually, based on experience

Benefits: Paid time off, paid holidays, health insurance contribution (details discussed at offer), continuing education support, employer-paid REMS and mandated reporter training
