HR Assistant & Bookkeeper

Skills and Experience:

The HR Assistant/Bookkeeper provides day-to-day support for the company’s accounting, payroll, human resources, and administrative functions. This position assists with accounts payable and receivable, bookkeeping, payroll processing, employee records, onboarding, and general HR administration. The ideal candidate is organized, detail-oriented, dependable, and comfortable handling confidential employee and financial information.

Responsibilities

Human Resources/Admin:

· Assist with new-hire onboarding and employee orientation.

· Collect and maintain new hire documentation, including DQ files for CDL Drivers

· Assist with gathering payroll time

· Maintain employee information within HR and payroll systems.

· Assist with benefits enrollment, employee questions, and documentation.

· Assist with employment verification and routine employee record requests.

· Support recruiting activities, including applicant tracking, scheduling interviews, and pre-employment documentation.

· Assist with maintaining company policies, forms, and employee handbook documentation.

· Answer main office phone line & assist with front lobby

· Maintain confidentiality of employee, payroll, and company information at all times.

· Any additional projects/tasks that the HR Manager assigns

Accounting/Bookkeeping

· Manage Accounts Payable and Accounts Receivable, including vendor invoices, customer invoicing, payments, receipts, and AR aging.

· Maintain accurate financial records in QuickBooks, ensuring transactions are properly entered, approved, and supported by documentation.

· Perform daily and monthly bank reconciliations, along with vendor statement and company credit card reconciliations.

· Prepare job cost and financial reports for ownership, accountants, and other business needs.

· Coordinate with external accountants, banks, and financial partners, providing requested reports and documentation.

· Assist with company loans and financing, including gathering financial documentation, coordinating with lenders, tracking loans through closing, and setting up new loans in accounting software

Qualifications

· High school diploma or equivalent required; associate degree in Accounting, Business Administration, Human Resources, or a related field preferred.

· 2+ years of bookkeeping, accounting, payroll, HR, or administrative experience preferred.

· Background in Construction or Transportation/Hauling preferred

· Experience with hiring Class A CDL drivers, a plus

· Experience with QuickBooks (desktop & online) or similar accounting software preferred.

· Experience with payroll/HRIS systems such as ADP is a plus.

· Proficiency with Microsoft Excel, Word, Outlook, and other Microsoft Office applications.

· Construction, trucking, or similar industry experience is strongly preferred.

· Experience with job-cost accounting or certified payroll is a plus.

Skills & Abilities

· Strong organizational and time-management skills.

· Strong attention to detail and accuracy.

· Basic understanding of bookkeeping and accounting principles.

· Ability to manage multiple responsibilities and meet deadlines.

· Ability to maintain confidentiality and exercise good judgment.

· Strong written and verbal communication skills.

· Ability to work independently while also supporting a team.

· Comfortable communicating with employees at all levels of the organization.

· Ability to identify discrepancies and follow through until issues are resolved.

· Strong computer and data-entry skills.

· Willingness to learn new systems, processes, and responsibilities.

Working Conditions:

· Ability to be in the office Monday - Friday from 7:00am-4:30pm.

· Overtime, when necessary.

· Must comply with the company’s drug and alcohol testing requirements.

· Prolonged periods of sitting at a desk working on a computer.

· Use of Personal Protection Equipment is required when applicable.
