Role Overview –
The Optimal Wellness Receptionist serves as a key point of contact for patients at Perlis Wellness Center and plays a critical role in supporting the hormone optimization journey from initial inquiry through ongoing care. This position goes beyond a traditional front desk role and requires a high level of professionalism, discretion, organization, and clinical awareness. The Optimal Wellness Receptionist bridges patient communication, provider support, and operational execution—ensuring hormone consultations, lab reviews, prescriptions, supplements, and follow-ups are managed accurately and efficiently. With a strong focus on personalized care and concierge-level service, this role helps deliver a seamless, informed, and high-touch experience for every patient within an optimal health and bioidentical hormone setting.
Key Responsibilities
Patient Experience & Front Desk Operations
- Greet and assist patients with warmth, professionalism, and discretion
- Answer phones, texts, and emails promptly and professionally
- Provide clear guidance to patients regarding appointments, services, and next steps
- Uphold patient confidentiality and HIPAA compliance at all times
Scheduling & Care Coordination
- Schedule consultations, treatments, lab reviews, follow-ups, and procedures
- Confirm appointments and manage cancellations/no-shows per practice policy
- Coordinate labs, diagnostics (DEXA, InBody, bloodwork), and follow-up visits
- Communicate effectively with providers regarding daily schedules and patient needs
Clinic Operations & Team Support
- Support daily clinic operations and special events or promotions
- Maintain front desk organization, inventory awareness, and professionalism
- Act as a liaison between patients, providers, and leadership
- Contribute to a positive, team-oriented clinic environment
- Ensure all intake forms, consents, and documentation are completed accurately
- Maintain organized, up-to-date patient records within the EMR system
Qualifications & Skills
- 1+ years experience in a medical, wellness, med spa, or concierge hospitality setting
- Strong interpersonal and communication skills
- Professional, calm demeanor with strong attention to detail
- Ability to multitask and problem-solve in a fast-paced environment
- Comfortable discussing wellness services, memberships, and treatment plans
- Proficient with scheduling software, EMRs, and payment systems

- Eligibility Requirements
- Must be at least 18 years of age or older.
- Must be willing to submit to a background investigation; any offer of employment is conditioned upon the successful completion of a background investigation, including but not limited to: Driving Record, Criminal Background, Reference Check, etc.
- Must be willing to submit to a drug and alcohol screening.
- Must have unrestricted work authorization to work in the United States.
