Job Summary

We are seeking a dynamic and highly organized Executive Personal Assistant to provide comprehensive administrative support to senior executives. This role is vital in ensuring smooth daily operations, managing complex schedules, coordinating projects, and facilitating effective communication across teams. The ideal candidate will demonstrate exceptional organizational skills, technical proficiency, and a proactive attitude to help executives stay focused on strategic priorities while handling a wide range of administrative tasks with professionalism and enthusiasm.

Responsibilities

Manage and coordinate executive calendars, scheduling meetings, appointments, and business travel arrangements efficiently.
Handle confidential information with discretion, ensuring data privacy and security at all times.
Prepare, proofread, and transcribe correspondence, reports, presentations, and other documents with precision.
Organize and facilitate company events, meetings, and internal communication initiatives to promote collaboration.
Oversee office management duties including filing, data entry, maintaining office supplies, and front desk responsibilities.
Utilize productivity software such as Microsoft Office Suite, Google Workspace, QuickBooks, and project management tools to streamline workflows.
Coordinate projects across departments, track deadlines, and ensure timely completion of deliverables.
Support business travel arrangements including booking accommodations, transportation, and preparing itineraries.
Conduct video conferencing using various software platforms to support remote meetings.
Collaborate closely with C-suite executives to prioritize tasks and ensure alignment with organizational goals.

Requirements

Proven experience as an executive assistant or personal assistant supporting senior leadership in a fast-paced environment.
Strong organizational skills with the ability to multitask effectively under tight deadlines.
Excellent written and verbal communication skills with professional phone etiquette.
Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), QuickBooks, and video conferencing tools such as Zoom or Teams.
Demonstrated ability to handle confidential information responsibly with integrity.
Experience in event planning, bookkeeping, project coordination, and office management is highly desirable.
Technical proficiency in managing multi-line phone systems, Docusign for document signing workflows, and data entry systems.
Exceptional attention to detail for proofreading documents and ensuring accuracy in all tasks.
Ability to work collaboratively across teams while maintaining independence on assigned projects.
