Full Job Description

POSITION SUMMARY

Reporting directly to the Executive Director, the Office Manager plays a versatile, cross-functional role supporting the organization's administrative, marketing, programming and development operations. This position ensures the smooth day-to-day running of the office while also providing hands-on support to all departments — from managing donor data and membership communications to coordinating marketing materials and event logistics. The ideal candidate is highly organized, detail-oriented, and comfortable working directly with donors, vendors, and staff across departments in a fast-paced, deadline-driven environment.

DUTIES AND RESPONSIBILITIES

Office Manager Responsibilities

Manage daily office operations, including mail pickup, bank deposits, and general office supplies and equipment
Serve as liaison with vendors (printing, IT, facilities) and manage related contracts and costs
Maintain organizational filing systems and office policies/procedures, both physical and digital
Coordinate logistics for internal meetings, board meetings, and organization-wide events (scheduling, room setup, materials and meeting minutes)
Support onboarding logistics for new hires and provide general administrative support to executive leadership
Handle donor and board correspondence touchpoints, such as condolence, birthday, and acknowledgement cards
Support programming and production departments as needed
Assist with basic bookkeeping as needed

Development Responsibilities

Process gifts into the donor database and prepare/send tax acknowledgements
Maintain and grow the donor database — adding new constituents, creating campaigns, and running reports
Support the membership program end-to-end: invitations, renewals, RSVPs, and benefit communications
Assist the Director of Development with donor stewardship (thank-you notes, calls, emails) and sponsorship/membership materials
Help plan and execute donor and membership events (e.g., Gratitude Cocktails, Founders Gala) alongside catering and vendor coordination
Support fundraising campaigns, including year-end appeals and grant-related research and correspondence
Contribute to the Donor Impact Report and keep donor/sponsorship information current on the website

Marketing Responsibilities

Manage website events and content; upload “Argyros Presents” event info and execute updates in a timely manner
Manage ordering, inventory, storage, and shipping of branded merchandise, posters, window clings, and print advertising
Pick up performance programs, posters, and marketing materials from local printers
Organize the Digital Asset Management system on DropBox with seasonal marketing assets (artist images, descriptions, videos, etc.)
Update community calendars with Argyros Presents event listings
Submit marketing-related invoices via bill.com for approval
Draft announce/on-sale/reminder emails for upcoming performances

The successful candidate will have:

Passion for the arts and familiarity of the local Wood River Valley community.
Committed to the mission of The Argyros Performing Arts Center
Self-motivated, highly organized, flexible, collaborative, motivated, and a fast learner.
While exceptionally detail-oriented, can also focus on large concepts and strategic issues
Able to navigate through diverse and sometimes competing priorities
Collaborative and collegial in work relationships
Excellent writing and grammar skills and general communications abilities - written and verbal are required.
Proficiency in all Microsoft Office and Google applications.
An exceptional communicator at all levels in the organization with strong oral, written and persuasive skills.
Able to work evenings and weekends during performances.
