Full Job Description

OUTPATIENT SPECIALTY PRACTICE SEEKING 2 POSITIONS: 1) CERTIFIED MEDICAL ASSISTANT and 2) MEDICAL RECEPTIONIST/SECRETARY

Must have at least 2 years experience as a Certified Medical Assistant - ideally in a physician office; fluent with Medical Assistant duties and responsibilities; great customer service skills; enjoys being part of a Team.
Must have at least 2 years experience as a Medical Receptionist/Secretary (check in/check out), fluent in insurance prior-authorization, preferably in a specialty practice.
Must have prior EMR experience, ideally Athena EMR.
Must possess thorough knowledge of insurance benefits, referrals, authorizations, HMO's, PPO's, Medicare Replacement Plans, etc.
Must be proficient in computer skills and be tech savvy.
Must have excellent customer service skills.
Must enjoy fast paced environment.
Must be a Team player with strong work ethic.
Hours are M-F 8:00-5:00 p.m..
Excellent benefits.
Office locations are both Suffolk and/or Chesapeake.
Post High School education required.
Certification as a Medical Assistant for Medical Assistant Position.
Only qualified applicants with certification will be considered.
Will require reference check prior to hiring.

Overview

We are seeking a detail-oriented and energetic Certified Medical Assistant (CMA) and Medical Receptionist to join our healthcare team. This dual role combines clinical support with front desk responsibilities, ensuring smooth patient flow and exceptional service. The ideal candidate will possess strong medical administrative skills, clinical expertise, and a passion for patient care.

Responsibilities

Perform clinical tasks such as taking vital signs, preparing patients for examinations, and assisting healthcare providers during procedures.
Manage patient check-in and check-out processes efficiently, including appointment scheduling and patient registration.
Maintain accurate electronic health records (EHR) using systems such as Epic, Meditech, or eClinicalWorks, ensuring documentation review and compliance with confidentiality policies.
Handle medical billing and coding activities, including CPT coding, ICD-9/ICD-10 coding, and insurance claim submissions, with knowledge of Medicare and health insurance procedures.
Provide exceptional customer service by answering phone inquiries, managing appointment scheduling, and addressing patient needs professionally.
Ensure clinic cleanliness, organize medical records, and maintain inventory of supplies in accordance with clinical confidentiality policies.
Support administrative functions such as filing, data entry with 10-key typing skills, and maintaining office organization using Microsoft Office tools.

Experience

Prior clinic experience in a healthcare setting is required, preferably within a neurology or sleep disorder clinic.
Demonstrated proficiency with electronic health record (EHR) systems such as Epic, Meditech, Athenahealth, or similar platforms.
Strong knowledge of medical terminology, health information management, and medical coding practices including ICD-10.
Experience with medical billing processes and familiarity with health insurance procedures is highly desirable.
Bilingual abilities are a plus to effectively serve diverse patient populations.
Excellent communication skills for phone etiquette and patient interaction are essential.
Previous experience in dental clinics or similar outpatient environments will be considered an asset.
