Full Job Description

ADMINISTRATIVE ASSISTANT/RECEPTIONIST (FULLTIME w/ benefits)

These positions are 100% on site in Killeen, TX. Two vacancies are posted, one near the Killeen Regional Airport and one near Skylark Field Airport.

Job Summary

Act as the “face of the organization”, working front office/reception area interacting with all customers and third parties in person and on the phone. Responsible for routing time sensitive and highly important calls related to healthcare operations. Presents a highly professional demeanor and always demonstrates competence. Perform routine clerical and administrative functions. Perform mid-level administrative support as assigned, including handling sensitive information, conducting research and responding to information requests.

Essential Tasks/Functions:

· Opens or closes offices and performs related tasks as required.

· Answer phone calls and direct calls to appropriate parties or take messages.

· Answer front door/desk and direct visitors to appropriate persons.

· Receive, process, schedule and revise travel plans (airfare, lodging, rental car, etc.) for company employees in accordance with company travel policies and procedures.

· Stock, organize, and clean kitchens and break areas as required.

· Operate office equipment, such as postage machines, copiers, and phone systems.

· Maintain scheduling and event calendars.

· Make appointments with commercial vendors as required, provide access and escort as needed.

· Coordinate office services, such as processing outgoing and incoming mail and deliveries, ordering office supplies, maintaining records and housekeeping.

· Maintain an inventory of company owned uniforms and other property, issue to new employees, collect and assess serviceability upon return.

· Manage paper and electronic filing systems holding records, correspondence, or other materials.

· Compose, type, and distribute meeting notes, correspondence, reports, informational or reference materials and presentations, using word processing, spreadsheet, database, or presentation software.

· Monitor compliance with administrative policies and procedures.

· Review operating practices and procedures to determine whether improvements can be made in areas such as workflow, reporting procedures, or expenditures.

JOB REQUIREMENTS

Minimum Requirements:

Education: High School Diploma

Professional Licensure: N/A
Experience: 3 years prior Administrative and/or Receptionist Experience. Customer Service working with internal and external customers.
Computer Skills: Microsoft Office: Outlook, Word, Excel, PowerPoint, web-based travel booking systems

Other:

· Excellent communication and interpersonal skills

· Highly organized with attention to detail

· Good project and time management skills

· Professional demeanor and appearance

Preferred Qualifications:

Education: 2-year degree

Experience: More than 5 years prior Administrative and/or Receptionist Experience.

Professional Licensure/Certifications: Formal administrative certifications

Experience: Military, Aviation Industry, Travel Industry
