Over the following decades, we evolved into a custom rug design studio working alongside some of the world's most respected architects, interior designers, developers, and procurement firms across hospitality, workplace, retail, healthcare, luxury residential, and cultural environments.

The Role

We're looking for a Business Operations & Office Manager to become the operational center of ModernRugs.

You'll work directly with company ownership while serving as a trusted ally to the broader team, maintaining visibility across the administrative and financial details that keep the company healthy.

This role spans office operations, bookkeeping, HR administration, financial coordination, executive support, and general business operations.

But the job isn't simply to administer what's already here.

We want someone who notices.

What's falling through the cracks? What could be organized once instead of solved repeatedly? What information should leadership have sooner? What process doesn't need to be this complicated?

The right person brings order without bureaucracy and support without passivity.

You make things easier.

What You'll DoFinance & Accounting Administration

Maintain day-to-day visibility into money moving into and out of the business
Manage accounts payable and accounts receivable workflows
Maintain accurate QuickBooks records and financial documentation
Coordinate invoices, payments, expenses, reimbursements, deposits, and vendor records
Prepare organized financial information and reports for leadership and external accountants
Coordinate with our accounting professionals and ensure they receive complete and accurate information
Monitor outstanding receivables and help maintain healthy financial operations
Maintain appropriate records and visibility into designated executive financial matters as requested by ownership

People & HR

Coordinate payroll administration
Manage employee records, onboarding, offboarding, benefits administration, and routine HR documentation
Serve as a helpful first point of contact for everyday employee administrative questions
Coordinate healthcare, retirement, insurance, and other employee programs
Help establish increasingly clear internal policies and people processes as the company grows

Office & Business Operations

Own the smooth day-to-day operation of the Harrisburg office
Maintain vendor relationships, subscriptions, records, insurance documentation, supplies, and general office needs
Create and maintain organized systems for company information and documentation
Support leadership with scheduling, correspondence, organization, follow-up, and administrative priorities
Help prepare meetings and ensure important decisions turn into action
Work across sales, project management, and design to resolve operational bottlenecks
Identify repetitive or inefficient work and recommend better processes
Introduce systems and tools where they genuinely improve the way we operate
Help leadership maintain visibility across the business without requiring everyone to spend their lives in meetings

What We're Looking For

4+ years of experience across business operations, office management, bookkeeping, executive support, HR administration, or related functions
Working knowledge of QuickBooks and fundamental business accounting workflows
Experience with AP/AR, payroll coordination, expenses, and financial recordkeeping
Experience with employee onboarding, benefits, HR documentation, or people operations
Exceptional organization and attention to detail
Excellent written and verbal communication
Strong judgment and discretion when handling confidential financial, employee, and executive information
Ability to prioritize independently in a fast-moving environment
Comfortable working directly with company ownership and supporting a small team
Strong Google Workspace and spreadsheet skills
Familiarity with Asana, HubSpot, or other modern business platforms is valuable
Interest in using technology and AI to simplify administrative work and create better visibility across the company

Where This Can Go

We're deliberately calling this Business Operations & Office Manager rather than simply Office Manager.

The immediate role requires someone willing to handle the details. There will be invoices to chase, documents to organize, benefits questions to answer, schedules to coordinate, and problems nobody predicted that morning.

But there is also a larger opportunity.

As ModernRugs grows and our systems mature, an exceptional person can increasingly take ownership of how the company operates, building processes, improving reporting, helping develop the team, and potentially growing toward broader operations leadership.

Base salary: 50,000–60,000
