Full Job Description

Reports To

Accounting Manager, Executive Operating/Finance Director

Position Summary

The Accounting Assistant provides administrative and accounting support to the finance department by assisting with accounts payable, accounts receivable, payroll processing, and general accounting functions. This position requires strong organizational skills, attention to detail and confidentiality. Experience using QuickBooks Online is required.

Essential Duties and Responsibilities

Accounts Payable (A/P)

Enter bills into QBO
Prepare and coordinate with the accounting manager to process vendor payments.
Maintain vendor files and update vendor information.
Respond to vendor inquiries regarding payments.

Accounts Receivable (A/R)

Prepare and issue customer/tenant invoices.
Record and apply customer/tenant payments.
Monitor outstanding balances and follow up on overdue accounts.
Reconcile customer accounts and resolve billing discrepancies.
Maintain accurate customer records.
Assist with collections as directed.

Payroll Assistance

Assist with payroll preparation and processing.
Enter payroll data and maintain payroll records.
Assist with payroll deductions, reimbursements, and adjustments.
Maintain confidentiality of payroll information.

General Accounting

Assist with monthly bank and account reconciliations.
Maintain organized accounting records and electronic files.
Assist with month-end and year-end closing activities.
Perform other accounting and administrative duties as assigned.
Assist with program budgeting.

Qualifications

Minimum of 1–3 years of accounting or bookkeeping experience preferred.
Experience with payroll processing is preferred.
Proficiency in Microsoft Excel, Word, and Outlook.
Strong analytical skills.
Excellent attention to detail and organizational abilities.
Ability to prioritize multiple tasks and meet deadlines.
Strong written and verbal communication skills.
Ability to maintain strict confidentiality.

Knowledge, Skills, and Abilities

Knowledge of generally accepted accounting principles (GAAP).
Understanding of accounts payable, accounts receivable, and payroll processes.
Ability to identify and resolve discrepancies.
Strong problem-solving and critical-thinking skills.
Ability to work independently and collaboratively within a team.
Excellent customer service and interpersonal skills.
Ability to communicate effectively in person, by phone, and electronically.

Pay: $24.00 per hour

Work Location: Hybrid remote in Eugene, OR 97403
