Job Summary
The Unlicensed Office Professional role is a support position in our Generational Wealth Advisors Team. This role is critical to our client experience and requires a friendly, upbeat demeanor. This individual will work with experienced financial advisors, providing assistance with day-to-day tasks. Key responsibilities include answering phones, scheduling, implementing client service model, business tracking, meeting prep, post meeting management and coordination of client service needs with team members. This position requires strong customer service and computer skills, along with the ability to manage time and complete tasks as assigned. Also needed is strong attention to detail, positive professional attitude, and ability to work in a team environment.
The ideal candidate is one who is competent in prioritizing and working with little supervision. They will be self-motivated and trustworthy. Duties and Responsibilities
Unlicensed Office Professional can expect to focus their work in the following areas:
· Answer phones, take messages if needed, assist members if able to. Retrieve messages from phone voicemail system.
· Calendar – Make sure all meetings are on the calendar (Clients, GWA or Thrivent Meetings, JFW, etc.).
· Monitor “meet me” link for Advisor and make updates accordingly
· Review monthly the birthday list, prepare and mail birthday postcards.
· Mail cards to clients as requested (So sweet, New home, Sympathy, Retirement, etc.).
· Order personalized marketing pieces from Storefront as directed.
· Create and monitor Opportunities.
· Prep and mail appointment card reminders or send email reminder weekly when applicable.
· Process Mail – (upload/submit forms, distribute to appropriate team member, etc.)
· File member forms, correspondence, other paperwork in appropriate paper or digital file.
· Set office space for upcoming meetings and greet clients upon arrival.
· Record all client interactions in Salesforce – Client Documentation (conversations, meeting notes, cards mailed, etc.).
· Update member record in Salesforce as directed: households, address, telephone number, church information.
· Assist with tracking current business and client needs/follow up. Document progress and completing tasks in our Salesforce CRM (Customer Relationship Management) software with satisfactory detail so that the current status can be easily understood by other members in the practice.
· Prep member file for meeting.
· Complete post meeting requirements. (Follow up email, uploading documents to Salesforce/digital file, Thank you for your business cards, etc.). Coordinates follow up to be done by other members of the team. Scan and save meeting notes into Salesforce and organize file.
· Contact members as directed to assist with request made to FA/FC as directed.
· Prepare service forms per members request or FA/FC request. Mail forms to members with cover letter.
· Complete illustrations as directed.
· Provide support for processing client service needs. Research client-specific issues and communicating conclusions verbally and in writing to the team.
· Assist with coordination of local events as needed.
· Prepare mailing labels for Advertising mailings.
· Be available to attend company outings and trainings, on and off property. Also available for evenings, when required (very limited need.)
· Any and all other duties as assigned.
Skills and Qualifications:
Unlicensed Office Professional typically requires the following qualifications:
· Proven experience as an office administrator, office assistant or relevant role
· Excellent written and verbal communication skills
· Self-starter, productive, works well with a team and independently
· Excellent project management skills with ability to prioritize and track multiple tasks
· Able to manage own workflow and priorities, and can accommodate unexpected requests or needs from clients and team
· Professional and positive attitude, friendly demeanor both in-person and by telephone
· Strong proficiency with Microsoft Office suite especially Excel
· Trustworthy; uses discretion with confidential information
Job Type: Full-time
Pay: $40,000.00 - $45,000.00 per year
