Full Job Description

Title: Secretary/Bookkeeper

Qualifications:

High School with an Associate Degree in Business preferred.
Three years of successful work experience in a bookkeeping and accounting office preferred. Preference will be given to actual accounts payable experience.
Acceptable typing and clerical skills.
Such alternatives to the above qualifications as the Board may find appropriate and acceptable.

Reports to: Principal

Supervises: N/A

Job Goal: To process all accounts payable/payrolls and related reports in an efficient and timely manner.

Performance Responsibilities:

Assures compliance with all items in the cash payments section, pages B-1 through B-5, of the Fiscal Office Procedures Manual.
Prepares all purchase orders for approval by the Finance Officer.
Reviews all purchase orders for compliance with purchase order procedures.
Runs all computer programs related to Accounts Payable/Payroll Departments
Prepares all reports required by the auditors.
Receipts all funds on a daily basis.
Complies with all requirements listed on pages A-1 through A-4 of the Fiscal Office Procedures Manual.
Assists the payroll supervisor in receiving and computing all payrolls.
Checks time cards, overtime reports, compliance with the Fair Labor Standards Act., etc.
Assists in meeting all requirements as specified in the “ Business Office Procedures Manual” payroll function.
Types a variety of materials, such as letters, reports, memos, etc.
Assists in receiving and routing incoming calls.
Maintains filing system.
Other such duties as assigned by the Superintendent, Principal or designee.

Terms of Employment: Twelve month year/At will/FLSA Non Exempt

Starting Salary and/or Grade: Salary based on state and local salary scale.

Evaluation: Performance of this job will be evaluated in accordance with provisions of the Carteret County Public School Board’s policy on Evaluation of Support Personnel.

Knowledge, Skills, and Abilities:

Ability to maintain confidentiality of financial, personnel, and student information.
Ability to follow detailed written and oral instructions.
Working knowledge of effective methods of dealing with children, employees and stakeholders.
Ability to establish and maintain effective working relationships as necessitated by work assignments.
Ability to communicate clearly and concisely, both orally and in writing; ability to communicate with school personnel, students, and parents while complying with the confidentiality requirements in local, state, and federal policies and statutes.
Maintains a considerable knowledge of accounting practices.
Maintains strong organizational skills
Ability to work with a high degree of accuracy.
Maintains functional knowledge of computers and all aspects of the Microsoft Office Professional software and Google programs.
Physical ability (able to exert up to 20 pounds of force occasionally) and dexterity to perform the duties and responsibilities of the job, such as, walk, lift, stoop, stand, grasp, kneel, crouch and key requiring repetitive motions.
