HR ADMINISTRATOR & OFFICE COORDINATOR

DivergeIT, Inc. | Torrance, CA (On-Site) Full-Time · Non-Exempt · $22.00/hour · Monday–Friday, 8:00 AM–5:00 PM

DivergeIT is a Southern California–based Managed Service Provider, and our Torrance headquarters runs on the person at the center of it all. We're hiring an HR Administrative & Office Coordinator to be the operational heartbeat of our office — the welcoming face at the front desk, a trusted partner to our HR team, and dependable support to senior leadership.

This is a highly visible, three-in-one role for someone who thrives on variety, moves fast, and takes quiet pride in keeping everything running smoothly behind the scenes. If you're organized, discreet, and energized by a workplace where no two days look alike, we'd love to meet you.

WHAT YOU'LL DO

This role spans three core areas:

Human Resources Administration

Support new-hire onboarding — coordinate background checks, process I-9 documentation, and ensure accurate, on-time payroll enrollment
Maintain organized, compliant employee records in both physical and digital formats
Assist with offboarding, including separation documentation and equipment collection
Post open roles to Breezy HR and other job boards, screen applications as directed, schedule interviews, and communicate professionally with candidates
Track HR policy acknowledgments and compliance deadlines
Help prepare HR reports, headcount summaries, and audit documentation
Maintain the HR calendar for review cycles, compliance dates, and recognition milestones

Front Desk & Office Reception

Serve as the warm, professional first point of contact for all visitors, vendors, and deliveries
Answer and route incoming calls and messages
Manage incoming and outgoing mail, packages, and courier services
Keep the front desk, lobby, and common areas clean and organized
Monitor and replenish office and kitchen supplies; coordinate with vendors and building management
Coordinate conference room scheduling, meeting logistics, catering, and visitor access
Act as point of contact for facility issues and office moves

Executive & Personal Assistant Support

Manage complex calendars for senior leadership — scheduling, resolving conflicts, and prepping ahead
Coordinate domestic travel: flights, hotels, ground transportation, and itineraries
Assist with errands, vendor appointments, and ad hoc logistics for the Founder & Partner and HR Manager
Draft, proofread, and distribute internal communications, memos, and announcements
Prepare agendas, capture action items, and follow up on open tasks
Handle confidential information with the highest level of discretion
Support special projects and cross-departmental coordination

WHAT WE'RE LOOKING FOR

Required

4+ years in an administrative, office coordination, or HR support role
Experience in a front-facing reception or customer-service position
A track record of supporting multiple functions or executives in a fast-paced environment
Hands-on proficiency with Microsoft 365 (Outlook, Word, Excel)
Familiarity with HRIS or payroll platforms
Proven ability to handle confidential information with discretion and professionalism

Preferred

Experience in a professional services environment
Background in executive or personal assistant support
HR administration experience
Bachelor's degree in Human Resources, Business Administration, Communications, or a related field (an equivalent combination of education and experience will be considered)

SYSTEMS & TOOLS

HRIS / payroll platform and Breezy HR (ATS)
Microsoft 365 — Outlook, Word, Excel, PowerPoint, Teams
DocuSign or equivalent e-signature tools
Multi-line phone system

WORK ENVIRONMENT This is a fully on-site role at our Torrance, CA office (Monday–Friday, 8:00 AM–5:00 PM; remote work is not available). It involves prolonged periods at a desk and computer, occasional lifting of up to 25 lbs, and moving throughout the office (including stairs) to greet visitors, manage mail, and support facility needs. Occasional local errands may be required (valid driver's license preferred).

COMPENSATION $22.00 per hour. This is a full-time, non-exempt position.
