Job Summary

We are looking for a friendly, organized, and dependable Front Office Coordinator to serve as the welcoming face of our firm. As the first point of contact for our clients, you'll help create a welcoming experience while keeping our office running smoothly each day. The ideal candidate is proactive, detail-oriented, communicates professionally, and enjoys managing multiple priorities in a fast-paced office. Responsibilities

Greet visitors, clients, and staff with professionalism and warmth, ensuring a positive first impression
Manage multi-line phone systems, screen calls, and direct inquiries appropriately using phone etiquette
Maintain organized filing systems, data entry records, and ensure accurate documentation
Support calendar management and appointment scheduling for staff and executives
Prepare client documents, assemble tax returns, process electronic filing forms, manage DocuSign requests, assist with billing, and help clients with quarterly estimated tax payments
Assist with office management duties such as supply inventory, equipment maintenance, and general administrative support
Provide customer support by addressing inquiries promptly and courteously, ensuring excellent customer service at all times

Competitive Compensation: $26-$32 an hour, depending on experience

Qualifications

Proven office experience with strong organizational skills and attention to detail
Proficiency in Microsoft Office Suite (Word, Excel, Outlook), and basic computer literacy
Experience with data entry, filing systems, and clerical tasks in a professional setting
Excellent phone etiquette skills with experience managing multi-line phone systems
Professional verbal and written communication skills
Previous experience in a receptionist, front office, or administrative support role is preferred
Strong time management skills with the ability to prioritize tasks efficiently
Experience with QuickBooks is a plus, but not required
