Full Job Description

Job Summary: Responsible for day-to-day administrative and general office duties including receiving referrals, scheduling per protocol, faxing, scanning and filing. Receives incoming telephone calls in a prompt, courteous, and professional manner and greets/assists visitors in the same manner.

Primary Job Responsibilities:

Welcomes patients/clients/visitors, determines the purpose of visit and directs them to appropriate person.
Promptly and professionally answers telephone calls. Routes calls appropriately, offering voice mail or redirection of calls as needed.
Accurately enters patient demographics including, but not limited to, insurance, address, responsible party etc
Works with team members and patients to identify information needs and appropriate methods for communicating with each party involved.
Utilizes SBAR communication when entering messages into patients charts, as well as when conveying information to team members.
Phones or informs employees to meet visitors and directs visitors to appropriate waiting areas.
Facilitates patient flow and communicates delays with patients and clinical staff.
Follows all Clinic policies on safety and security; maintains restricted areas safe by safeguarding keyless entry codes and computer system passwords in strict confidentiality.
Appropriately and courteously screens solicitors for relevance to organization needs.
Explains financial requirements to the patients or responsible parties and collects copays as required.
Responsible for keeping the reception and patient waiting areas, play area and guest bathroom and office files clean and organized.
Ensure quality communication and dialogue between patients, medical receptionists, nurses and providers
Maintains a professional relationship with team members and members of the community.
Monitors medical office supplies and inventory needs, requests orders and oversees office equipment.
Performs other duties as assigned.

Experience: One year of experience in customer service or reception, preferably in a medical office setting.

Education/Certification/Licensing Requirements:

Prefer completion of a course in Medical Terminology.
High school diploma or equivalent.

Knowledge, Skills and Abilities

Knowledge of medical terminology and organization services.
Knowledge of staff responsibilities to accurately direct callers.
Knowledge of administrative processes, procedures, claims processing, and preparing patient charts
Effective verbal and written communication skills. Should be able to adapt communication style to suit different audiences.
Effective facilitation skills. Should be able to facilitate group discussions.
Attention to detail. Should be able to develop accurate written materials.
Action orientated. Should be able to follow up on feedback to ensure positive outcomes.
Ability to use multi-line phone system, including transferring calls and paging.
Ability to exercise a high degree of diplomacy and tact while multi-tasking, organizing and scheduling patients.
Ability to type a minimum of 45 WPM and operate a 10 key calculator by touch.
Adequate hearing to answer phone and speak with patients.
Ability to speak clearly and loudly enough to be heard by callers and patients.
Ability to works well under pressure with minimal supervision.
Ability to elicit appropriate information to route calls to the appropriate person.
Ability to prevent, calm, and/or defuse irate callers and patients working with them to identify concerns and properly directs calls.
Ability to competently use Microsoft Office, including Word, PowerPoint, Excel, and appropriate practice management software.

Physical/Mental Demands: Requires sitting, standing, bending and occasional lifting as associated with a medical office environment.'
