Overview

We are seeking a dynamic and highly organized Office Assistant to join our team! This energetic role is vital in ensuring the smooth operation of daily office functions, providing exceptional support to staff and clients alike. As an Office Assistant, you will be the friendly face at the front desk, manage administrative tasks with efficiency, and contribute to a productive and welcoming environment. Responsibilities

Greet visitors, clients, and vendors with professionalism and a warm demeanor, ensuring excellent customer service at all times
Manage multi-line phone systems, direct calls accurately, and handle inquiries promptly using proper phone etiquette
Maintain organized filing systems, both physical and digital, ensuring easy access to important documents
Assist with calendar management, scheduling appointments, meetings, and coordinating logistics for staff and residents
Provide general administrative support including proofreading documents, preparing Word processing materials, and managing office supplies

Requirements

Proven experience in office management with strong clerical skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets and data entry processes
Excellent computer literacy and technical proficiency to navigate various software platforms efficiently
Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
Previous experience as a front desk receptionist or medical receptionist is a plus
Demonstrated customer service skills combined with professional phone communication and phone etiquette
Ability to handle multiple responsibilities simultaneously while maintaining attention to detail and accuracy
