About the Role

We are seeking an experienced Office Manager to oversee front‑office operations, HR administration, bookkeeping support, and workflow coordination. This role is responsible for maintaining accuracy in QuickBooks, ensuring compliance, managing administrative processes, and providing leadership to the front‑office team — including direct oversight of the AP/AR position.

The ideal candidate has 10+ years of front‑office experience, strong HR knowledge, proven bookkeeping skills, and the ability to bring structure, consistency, and professionalism to a fast‑paced environment. Bilingual in English and Spanish is a strong plus.

Key Responsibilities

Front Office Leadership

Oversee daily front‑office operations
Manage, mentor, and support front‑office staff (including AP/AR role)
Implement and maintain organized filing systems
Improve workflows, documentation, and office processes

Human Resources

Manage onboarding, employee files, and HR documentation
Support employee relations and basic investigations
Assist with policy enforcement and handbook maintenance
Coordinate benefits administration and open enrollment
Maintain compliance with company policies and employment standards

Bookkeeping & QuickBooks

Enter and review transactions in QuickBooks Desktop
Work with QuickBooks to move over to QuickBooks Online
Support accounts payable and accounts receivable accuracy
Bank and credit card reconciliations
Maintaining vendor and customer records
Process Bi-weekly Payroll

Administrative Operations

Manage office supplies, equipment, and vendor relationships
Coordinate inspections, maintenance, and compliance tasks
Support communication between departments and leadership
Ensure the office runs efficiently and professionally

Required Qualifications

10+ years of front‑office management experience
Strong QuickBooks experience (required)
HR administration experience (onboarding, documentation, compliance)
Experience supervising or managing office staff
Strong organizational skills and attention to detail
Excellent communication and leadership skills
Ability to create structure and improve processes

Preferred Qualifications

Bilingual English/Spanish
Experience in small‑business or manufacturing environments
Payroll and benefits administration experience
Credit card reconciliation experience
Ability to implement new systems and streamline workflows
