Full Job Description

Description:

This position provides administrative and project support to the Director of Clinical Education for the Doctor of Physical Therapy Program. Various responsibilities also promote the multi- faceted overall operation of the clinical education component of the DPT program. This is a part-time, 12-month position.

Responsibilities

Primary Duties

1. Support the Director of Clinical Education (DCE) for the Doctor of Physical Therapy Program.
2. Communicate with students, faculty, clinical partners, and healthcare organizations, providing timely and professional communication.
3. Manage clerical duties including copying, filing, and mailings.
4. Organize, maintain, and streamline electronic and physical filing systems to ensure accuracy, compliance, and efficient document retrieval.
5. Manage and maintain calendars, including scheduling and prioritization of appointments.
6. Coordinate travel arrangements, including itineraries as well as anticipating and organizing necessary materials.
7. Complete expense reconciliation.
8. Manage student records, compliance requirements, onboarding documentation, and placement-related forms.
9. Maintain and monitor the Clinical Education database, tracking clinical sites, affiliation agreements, and placement data.
10. Under direction of the DCE, plan and coordinate clinical education events, meetings and training sessions by managing communications, facility reservations, catering, event logistics, and on-site support. These events may include occasional hours in the evenings or on weekends.
11. Assist with maintenance of operational policies and procedures in the CE manual and other relevant documents.
12. Prepare reports, accreditation documentation, and program assessment materials in support of CAPTE accreditation and annual program review.
13. Train and supervise student worker while supporting continuous improvement of administrative processes and clinical education workflows.

Secondary Duties

1. Obtain and maintain proficiency with clinical education technologies and software platforms to support program operations.
2. Monitor, order, and maintain inventory of clinical education office supplies and program resources.
3. Ensure the organization and functionality of clinical education equipment, materials, and administrative resources.
4. Demonstrate dependable attendance and provide consistent administrative support to ensure continuity of program operations.
5. Perform additional administrative and program support duties as assigned to meet departmental and organizational needs.
6. Collaborate with other administrative assistants within the University through meetings and trainings.
7. Other duties as assigned.

Qualifications

Education Required

High school diploma or equivalent required

Education Preferred

Associates degree preferred

Experience Required

2-3 years of administrative support

Skills, Characteristics Required

Professional-level communication skills including strong writing, editing, speaking and comprehension skills.
Ability to communicate successfully across programs and with various constituencies, including external contacts.
Strong organizational skills including time management and the ability to prioritize multiple responsibilities, in collaboration with DCE and frequently independently.
Advanced computer proficiency including the ability to work with consultation and/or independently in various databases (e.g., Excel, Oracle, EXXAT, CANVAS)
Ability to lift 20 pounds for loading and unloading equipment and supplies.
