Full Job Description

We are seeking a motivated and detail-oriented Office Administrator to join our team. This role is pivotal in managing the day-to-day administrative functions of the office, ensuring smooth and efficient operations for both office and warehouse activities. As a key contributor, you will help maintain compliance with company policies and procedures while supporting the overall success of the organization. This position offers long-term stability and the opportunity to thrive in a dynamic and fast-paced environment.

Key Responsibilities:

● Manage and organize office operations, including coordinating schedules, meetings, and events.

● Handle office correspondence, including phone calls, emails, and postal mail.

● Maintain office supplies inventory, ordering new supplies when needed.

● Assist in preparing documents, reports, presentations, and other materials for meetings and projects.

● Verify and compile timesheets for all employees and contract workers, maintaining detailed Excel reports with employee names, hours, and wages.

● Handle basic bookkeeping tasks, including processing invoices, managing petty cash, and maintaining financial records.

● Assist with employee on-boarding and maintaining employee records.

● Monitor and maintain office cleanliness and ensure that health and safety standards are followed.

● Handle incoming and outgoing shipments, deliveries, and other logistics as required.

● Ensure compliance with office policies and assist in implementing new procedures as needed.

● Perform other tasks as assigned by the supervisor of warehouse operations.

Required Skills and Qualifications:

● Must be eligible to work in the United States.

● High school diploma or equivalent; additional qualifications in office administration is a plus.

● Proven experience as an Office Administrator or in a similar administrative role.

● Strong organizational skills with the ability to multitask and prioritize effectively.

● Basic knowledge of office equipment and administrative procedures.

● Ability to maintain confidentiality and handle sensitive information.

● Excellent written and verbal communication skills.

● Strong attention to detail and problem-solving skills.

● Ability to work independently and as part of a team in a fast-paced environment.

● Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other office software.

● Must be bilingual in Mandarin Chinese and English

Job Type: Full-time
Work Schedule: Monday to Friday 8am-5pm
Work Location: Onsite (5 days per week)
