Manager of Office Operations

Are you a hands-on leader who enjoys developing teams, solving problems, and creating exceptional patient experiences? Lakeview Behavioral Health is seeking a Manager of Office Operations to lead our office operations team while providing operational support to ensure our clinics run efficiently every day.

The Manager of Office Operations is a working leader responsible for overseeing front office operations across our clinic locations. This role provides leadership to the office operations team while supporting daily clinic functions, including scheduling, registration, patient communications, medical records, and provider support as needed. Responsibilities include hiring, training, coaching, performance management, and implementing standardized processes to promote efficient operations and an exceptional patient experience.

This position requires frequent travel between our clinic locations in Hibbing, Duluth, Grand Rapids, and Brainerd. Applicants may reside in the Hibbing or Duluth area.

Applicants may reside in either the Hibbing or Duluth areas.

Essential Duties & Responsibilities

Provide leadership, supervision, coaching, and support to Office Managers across all clinic locations.
Recruit, interview, onboard, train, and develop Office Managers.
Ensure consistent office operations, registration, scheduling, and customer service practices across all locations.
Travel regularly between clinic locations to provide leadership, operational support, and staff coverage, with the flexibility to travel on short notice when needed.
Assist with front office, registration, scheduling, insurance verification, and other administrative responsibilities when operational needs require.
Monitor staffing needs and coordinate coverage to maintain efficient clinic operations.
Support Office Managers in resolving operational challenges, workflow concerns, and patient service issues.
Verify and maintain accurate client demographic, insurance, and registration information within the Electronic Health Record (EHR).
Process and assist with medical records requests, documentation, and other administrative functions as needed.
Monitor provider schedules and coordinate scheduling changes to maximize clinic efficiency.
Ensure compliance with HIPAA, payer requirements, and organizational policies and procedures.
Foster a positive, collaborative work environment focused on teamwork, accountability, and excellent customer service.
Conduct performance evaluations, provide ongoing coaching and feedback, and support the professional development of Office Managers.
Collaborate with Leadership to improve office workflows and operational efficiency.
Participate in continuing education, cross-training, and other duties as assigned.

Required Qualifications

Minimum of 2 years of experience in an administrative or office management role, preferably in a healthcare or behavioral health setting.
Experience supervising front office, registration, patient access, or administrative staff preferred.
High school diploma or equivalent required; Associate degree or higher preferred.
Strong organizational, communication, and problem-solving skills.
Proficiency with Google Workplace and Electronic Health Record (EHR) systems.
Knowledge of insurance verification, payer requirements, and medical terminology preferred.
Ability to maintain confidentiality and comply with HIPAA regulations.
Valid driver's license, reliable transportation, and the ability to travel regularly between clinic locations.
Must successfully pass a Minnesota Department of Human Services (DHS) background study as a condition of employment
