Full Job Description

Job Summary:

The Assessments Department plays a critical role in the development, administration, and continuous improvement of all assessments offered through NBCC and its affiliates. Operating within the Credentialing and Quality Assurance Division, the department oversees both accredited and non-accredited credentialing programs, including work analysis–driven examinations and standards-based assessments.

The Assessments Outreach Coordinator is responsible for developing, recruiting, engaging, and maintaining the network of subject matter experts (SMEs), item writers, and other volunteers who support the development and maintenance of NBCC examinations. This position coordinates volunteer recruitment initiatives, fosters relationships with professional organizations and academic programs, manages external communications related to departmental programs, and supports the continued growth and engagement of the department's volunteer community.

Essential Duties and Responsibilities:

Leads the recruitment, engagement, and retention of subject matter experts (SMEs), item writers, and other volunteers supporting examination development activities.
Develops and implements recruitment strategies to maintain a diverse and qualified pool of SMEs and item writers for current and future examination development needs.
Develops and maintains professional relationships with Counseling organizations, academic programs, and other external stakeholders to support volunteer recruitment and departmental initiatives.
Coordinates onboarding activities for new SMEs and volunteers, including initiating contracts, maintaining volunteer records, and communicating participation requirements.
Collaborates with the Content Development Coordinator to identify volunteer needs, recruit qualified SMEs and item writers, and support examination development activities.
Co-facilitates item writer trainings, assists with volunteer engagement activities, monitors participation, and prepares training and follow-up materials.
Maintains accurate records of SME participation, volunteer activities, and recruitment efforts.
Prepares communications and informational materials related to volunteer recruitment, examination development activities, and departmental initiatives.
Develops and maintains content for departmental social media platforms, newsletters, recruitment campaigns, promotional materials, and other external communications in collaboration with the Communications Department to ensure messaging is accurate, timely, and consistent with organizational standards.
Maintains the department's digital scholarship library by updating resources, managing user access and permissions, and recommending improvements and best practices for resource management.
Assists with examination committee meetings by preparing participant communications, coordinating volunteer participation, and supporting examination development activities.
Effectively collaborates with department staff and other organizational departments to support examination development initiatives and volunteer engagement activities.
Travels to conferences and professional meetings to support recruitment efforts, represent the Assessments Department, and develop relationships with professional organizations and potential volunteers.
Attends examination committee meetings held approximately monthly each year.
Attends required committee meetings approximately 12–16 weekends per year.
Performs other duties as assigned.

Required Education/Experience:

Bachelor's degree is required
1–2 years of general administrative experience handling multiple projects
Experience with project management tools
Must be proficient in Microsoft Office, Excel, and PowerPoint

Preferred Education/Experience:

1–2 years of experience in recruitment and management of contracted staff in professional certification or educational setting is preferred

Work Location:
