Full Job Description

Job Summary

We are seeking a highly organized and detail-oriented Administrative Assistant who will support our service teams. This role will support various administrative functions, including answering phones, ordering supplies, coordinating onbaordings, and other essential tasks that ensure smooth day-to-day operations. This role requires a detail-oriented, system-minded, and trustworthy professional who can proactively identify and fill operational gaps.

Key Responsibilities

Office Management

o Monitor, manage, and order office supplies to ensure efficient operations.

o Maintain clear and concise communications with department managers, employees, and customers.

o Respond to all messages and e-mails in a timely manner.

o Coordinating facility needs including shipping & receiving, maintenance & repairs, safety protocols, and office & warehouse organization.

· Employee Engagement

o Assists with the coordination and administration of employee benefits programs, including enrollments, changes, and inquiries.

o Process payroll accurately and on schedule, maintaining compliance with all applicable laws and regulations.

o Collaborates with other departments to ensure seamless on-boarding and off-boarding processes.

o Encourages participation in engagement programs and ensures that employees have access to meaningful support and opportunities to engage in company culture.

· Documentation

o Documents best practices, policies and procedures using videos and written documentation.

Qualifications

Proven experience in an administrative role.
Strong organizational and time management skills.
Self-starter who is proactive, curious, and solutions-oriented.
Ability to maintain organization across physical and digital filing systems.
Ability to sit, stand, or change positions as needed throughout the workday.
Ability to work in a shared office environment with moderate noise and interruptions.
Perform other duties as assigned to meet business, operational, safety, and customer service needs.
Pass required drug screening per company policy.
Maintain a valid driver’s license and meet company insurance requirements with the ability to drive long distances.
Communicate clearly and effectively in person, by phone, video, email, and other electronic formats.
Read, interpret, and follow written procedures, policies, and instructions.
Maintain confidentiality and handle sensitive information appropriately.
Manage multiple priorities, meet deadlines, and adapt to changing demands.
Perform repetitive motions, and prolonged computer or device use as required by role.
Work standard business hours with flexibility based on role needs.
Maintain organized digital & physical filing systems.
Manage time sensitive requests calmly and accurately.
Provide general administrative support across departments.
Communicate effectively with employees across all organizational levels.
Visually review documents and screens for accuracy and completeness.
Coordinate multiple initiatives and employee events simultaneously.
Work independently on complex technical tasks.
Document technical work clearly and explain concepts to non-technical users.
Travel occasionally between IN and KY offices.
Work effectively in shared office environments with moderate noise and interruptions.
Support meetings and events, including standing or walking for moderate periods.
Sit, stand, and change positions throughout the workday.
Lift, carry, and move office materials or equipment (20-40 lbs.)
Bend, reach, and stoop for filing, equipment access, or workspace organization.
Lift and transport event materials (up to 30 lbs.)
Work occasional non-standard hours for events.
Represent the company professionally at events and public venues.
Adapt communication styles to diverse candidate populations.
