Department: Development, Marketing & Communications (DMC)

POSITION SUMMARY

The Volunteer Coordinator is a collaborative member of the Development team, responsible for building and sustaining Hawaiʻi Foodbank’s volunteer network in support of the organization’s mission to feed our ʻohana today while working to end hunger tomorrow. Volunteer engagement is a vital extension of Hawaiʻi Foodbank’s brand and donor experience work — often a first connection point with the community that, done well, deepens into the donor relationships every other Development function depends on.

Volunteer Coordinator positions on the Development team, reflect Hawaiʻi Foodbank’s commitment to building the capacity to deepen and optimize how the organization engages volunteers moving forward. In conjunction with the Development team, the Volunteer Coordinator is responsible for volunteer recruitment, orientation, project planning, implementation, and supervision.

In addition to day-to-day management of the volunteer program, the Volunteer Coordinator represents Hawaiʻi Foodbank at external events and builds relationships in the community and with volunteers and corporate partners, in coordination with the Director of Communications and Brand Experience’s broader brand and donor experience strategy.

This is a full-time position. The schedule requires day hours and occasional evening and weekend hours to cover volunteer group activities, committee meetings, and events benefiting the organization. This position reports to the Director of Communications and Brand Experience.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

Completes the recruiting, screening, interviewing, and training of new volunteers.
Provides ongoing training and supervision of existing volunteers, ensuring they are given appropriate training to be successful in their roles.
Works with volunteers individually and in small groups. Assesses experience, skills, and limitations of volunteers to successfully engage them in meaningful volunteer service.
Orients, trains, coaches, motivates, measures, and evaluates volunteers in accordance with organizational policies, procedures, and programs. Orients volunteers to increase their understanding of Hawaiʻi Foodbank, its neighbors, its programs, and the role and responsibilities of volunteers.
Conducts regular Volunteer Orientation sessions and develops volunteer training tools and curricula as needed.
Acts as liaison between Hawaiʻi Foodbank and the community, including speaking to community and corporate groups to present on the organization’s history, needs, and volunteer opportunities.
Coordinates with staff to ensure they are prepared for the arrival of volunteer groups and that all necessary tools, resources, and materials are readily available, and that staff understand details and expectations.
Ensures that volunteer check-in procedures are followed and records of volunteer hours are maintained according to established procedures.
Assists with conflict resolution among staff and volunteers according to established procedures.
Plans and implements formal and informal volunteer recognition activities to recognize the contribution of volunteers to the organization.
Creates and maintains volunteer files tracking individual applications, background checks, and other paperwork related to their ongoing participation in Hawaiʻi Foodbank volunteer opportunities.
Works side-by-side with volunteers to ensure their hours are used productively and projects are completed in a timely manner.
Maintains the volunteer calendar, arranging schedules for the various stations where volunteers are utilized, including food sorting, projects, and campaigns.
Completes regular reporting summaries of volunteer hours and project statuses.

OTHER FUNCTIONS

Complies with all federal, state, and company policies, procedures, and regulations.
With team, presents recommendations and assists in implementing quality initiatives.
Provides support on any other duties as assigned.

Pay: $50,000.00 - $65,000.00 per year
