Full Job Description

SUMMARY:

This position is focused on supply, fuel inventory, transportation, bids/contracts and hedging. It also provides pricing support to enhance the efficiency and profitability of the company.

WORK HOURS

Normal work schedule is 8:00 am to 5:00 pm with a 1 hour lunch break.

Occasionally, during our busy season, additional hours may be required to meet our business needs.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Assists with the ordering of and maintains appropriate inventory levels of Gas and Oil products, including; Updating Incoming Transports spreadsheet
Update and email out Future LPG Transports
Rescheduling loads, order spot gas, etc
Order fuel if needed by creating PO’s and emailing haulers/suppliers
Update and email out Oil Storage
Compare loading tickets to Petrovend report for accuracy
Receive transport paperwork, post transactions and balance inventory daily in Ignite. Reports any discrepancies to management
Ensures contracts are met with suppliers (enter inventory contracts in Ignite as needed)

· Run Future Gallon Report & email snapshot to manager

· Looks for cost effective ways when ordering product, including the use of electronic live pricing tools

· Updates transportation rates as necessary

· Responsible for the coordination and execution of year end liquid inventory

· Works with thru-put vendors for all needs (gate codes, Petrovend codes, updates, etc).

· Review and track gallons drivers lift from Sprague and update the accounting team. (Lucie)

· Updates oil Margin Trak daily & utilizes reports within program

· Track and record crude prices daily

· Keeps track of bids, contracts, renewals, expirations, etc. Complete required forms for the bidding process.

· Responsible for efficient communication, harmonious interaction and support of co-workers and management team members

· Perform other tasks assigned by supervisor to provide general support to company operations.

· Create report for API survey and submit annually.

· Responsible for updating employees, troubleshooting and all aspects of Petrovend

· Coordinates with delivery team regarding supply needs and adjustments

· Must have strong customer service skills, negotiating skills and analytical skills.

· Monitor and complete any follow up notes (ignite) and or tasks pricing related. These notes and or tasks could be directed from another department, individual or oneself.

· Always maintains and promotes company brand guidelines and core values (Friendly, Simple, Safe).

This position includes the following duties as needed and is also a backup to the pricing and supply administrator

Price Programs

· Create and send out all auto-renew Price Assurance contracts for the new year

· Track new contract signups in price portal and ensure plans/fees/payments are properly set up

· Check price portal for brand new Price Assurance signups during summer & follow up on outstanding plans.

· Assists with prebuy plans by running reports, fixing accounts and helps with process.

· Send snapshot of price portal dashboard (during summer)

Pricing

· Calls or checks internet for competitor’s oil and propane prices (prebuy plans, etc.) as required.

· Update accounts as required based on usage, employment status, neighborhood location, etc.

· Provide customer service for supply or pricing-related calls

Other

· Create and apply new group codes and promo codes as requested

· Runs group code reports and makes adjustments when necessary.

· Creates and analyzes reports. (Fuel usage, future gallons, price program updates, non-usage, etc.)

· Utilize and update Smart sheet for projects assigned by manager

· Attend weekly meetings with manager

· Assist with periodical price training for CSR’s

· Maintain intranet pages regarding supply & pricing

· Works with outside vendor for additions/changes to online portal/contracts

SUPERVISORY RESPONSIBILITIES This job has no supervisory responsibilities.

SAFETY Working safely is a condition of employment. Employees shall verbally report and photograph all crashes / injuries to their Manager immediately. If your Manager is not available, report the crash / injury to the Safety Director, another Manager, or Human Resource Manager.

EDUCATION / EXPERIENCE Associate degree; or three to five years related experience/training. Must be able to pass PERC Education Program (PEP).

LANGUAGE SKILLS Must speak fluent English. Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

COMPUTER SKILLS

Microsoft Office suite: Word, Outlook, PowerPoint, Excel. Proficient Excel user. Must be able to run reports in all software programs we use. Ability to quickly learn our computer software. Use Google Drive and search the employee intranet.
