Full Job Description

The Opportunity

The Family Governance Coordinator provides administrative, meeting, project, and documentation support to the Senior Manager, Family Governance. This role helps coordinate Family Entity Board, Committee, and Task Force meeting logistics, materials, records, follow-up items, and related governance activities. The ideal candidate is highly organized, detail-oriented, discreet, and service-oriented, with the ability to manage deadlines, maintain accurate information, and support a high-quality experience for family members, board and committee participants, and internal stakeholders.

What You'll Do

Coordinate Family Entity Board, Committee, and Task Force meeting logistics, including scheduling, room setup, catering, technology needs, travel coordination, and distribution of meeting materials.
Assist with preparing, proofreading, formatting, and organizing meeting materials, presentations, notes, minutes, and related documents.
Track meeting follow-up items, attendance, approvals, signatures, and document distribution.
Compile prior meeting notes and background information to support preparation of talking points for Board and Committee Chairs.
Track attendance, send Outlook calendar invitations, and communicate teleconference/videoconference needs.
Coordinate travel when meetings are held offsite.
Manage deadlines effectively and prioritize tasks in a fast-paced environment.
Handle multiple priorities and deadlines with exemplary follow-through and confidentiality.
Identify opportunities to improve organization, communication, meeting preparation, documentation, and follow-up processes; suggest practical solutions to support efficiency and service quality.
Provide coordination support for projects and initiatives related to Family Governance and Legal Services, including organizing information, maintaining timelines, tracking action items, gathering updates, preparing materials, and following up on deliverables.
Organize and accurately maintain files, facilitate items that require approval/signature, and manage data.
Support family governance activities.
Assist with special projects as assigned.

What You'll Bring

Bachelor’s degree or paralegal/other administrative certificate, or a minimum of three to five years of experience as an administrative professional.
Strong judgement and comfort-level working with confidential, sensitive, and proprietary information, as well as an uncompromised commitment to the highest level of confidentiality.
Must demonstrate a high degree of integrity, ethics, discretion, and dedication to the mission of the organization.
Exposure to governance, board, legal, compliance, or highly confidential administrative environments preferred.
Ability to learn and follow established governance-related processes, documentation standards, and approval workflows.
Familiarity with legal or governance terminology is helpful but not required.
Excellent organization and writing skills.
Exceptional attention to detail.
Ability to proof and edit Board-level content.
Demonstrated excellent interpersonal and communication skills, both written and oral with the ability to interface with a diverse array of audiences and stakeholders.
Ability to collaborate effectively with diverse personalities and a desire to work in a cross-functional team environment.
Demonstrated proficiency in Microsoft Word, Outlook, Excel, Adobe, PowerPoint, Canva, and Google.
