Overview

We are seeking a dynamic and highly organized Office Administrator to join our team and ensure the smooth operation of our office environment. This vital role involves managing daily administrative tasks, supporting team members, and maintaining an efficient workflow. The ideal candidate will demonstrate exceptional organizational skills, technical proficiency, and a proactive attitude to foster a productive and welcoming workplace. Responsibilities

Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
Oversee office management duties such as filing, data entry, and maintaining organized records using spreadsheets and productivity software
Coordinate calendar management and scheduling for meetings, appointments, and events using Microsoft Office tools
Support client communication and customer service efforts by providing timely responses and assistance via phone or email
Handle clerical tasks including proofreading documents, word processing, and ensuring accuracy in all correspondence
Utilize QuickBooks for basic bookkeeping tasks such as invoicing, expense tracking, entering vendor invoices, and financial record keeping
Assist with technical proficiency in computer skills, including troubleshooting minor issues and maintaining office equipment

Experience

Proven office experience with strong organizational skills and attention to detail
Familiarity with Microsoft Office suite (Word, Excel, Outlook) and productivity software
Experience with data entry, filing systems, and clerical support functions
Prior customer service or front desk experience demonstrating excellent communication skills
Knowledge of QuickBooks or similar accounting software is required
Bilingual abilities are a plus to support diverse client interactions
Demonstrated ability to manage time effectively and prioritize tasks efficiently
