Full Job Description

Job Title: Executive Assistant (Full-Time, 35-40 Hours/Week)

Organization: Angelman Syndrome Foundation

Location: Indianapolis, IN

Reports To: CEO

About Us:

The mission of the Angelman Syndrome Foundation is to advance the awareness and treatment of Angelman syndrome through education and information, research, and support for individuals with Angelman syndrome, their families and other concerned parties. We exist to give them a reason to smile, with the ultimate goal of finding a cure.

About the role:

Serves as a strategic partner to the Chief Executive Officer, helping maximize the CEO's effectiveness by managing priorities, communications, Board relations, scheduling, special projects, and organizational coordination. This position serves as an extension of the CEO while also providing administrative and operational support to keep the ASF running efficiently.

Working closely with the CEO and leadership team, the Executive Assistant coordinates executive priorities, Board activities, organizational operations, and administrative functions while supporting internal communication, office operations, and Foundation-wide initiatives.

Key Responsibilities

Manage the CEO's calendar, correspondence, travel, and meeting preparation, exercising judgment on competing priorities.
Coordinate Board of Directors logistics, including meeting scheduling, materials preparation, minutes, and follow-up on action items.
Serve as a project management hub across departments — tracking deliverables, deadlines, and dependencies for cross-functional initiatives like the annual strategic plan and Board meetings.
Prepare and format correspondence, presentations, reports, and other materials for internal and external audiences.
Coordinate logistics for organization-wide events, conferences, and the annual Family Conference and symposium.
Support onboarding logistics and day-to-day operations that keep a small, remote-friendly team running smoothly.
Manage sensitive and confidential information with discretion.
Take on special projects as ASF's priorities evolve.

Qualifications:

3+ years experience as an Executive Assistant, project coordinator, or similar role supporting senior leadership.
Strong project management skills — able to track multiple workstreams across departments and keep them moving without close supervision.
Excellent written and verbal communication skills, with the judgment to represent the CEO and organization professionally.
High level of organization, attention to detail, and comfort managing competing deadlines in a fast-paced environment.
Proficiency with common productivity and project management tools (e.g., Microsoft Office or Google Workspace, Asana or similar).
Comfort working across departments and building relationships with staff, Board members, and external partners.
Nonprofit experience, or familiarity with the rare disease or healthcare advocacy space, is a plus but not required.
A genuine interest in ASF's mission and the Angelman syndrome community.

Work Schedule:

The schedule is flexible but must align with key meetings and deadlines. Some evening or weekend availability required for special events and meetings.
