Full Job Description

General Purpose of the Position: Responsible for reception, scheduling, clerical support, and maintaining accurate records while contributing to a professional, trauma-informed, and service-oriented environment. A key expectation of this role is to ensure that every customer feels valued and welcome, with consistent delivery of warm, attentive, and courteous service.

Supervisor’s Title: HR Manager or CEO

Supervisory Responsibility: None

Essential Functions of the Job:

1. Provide high-quality in-person and telephone customer service to individuals from diverse backgrounds while demonstrating and furthering a culture of trauma informed care in a welcoming and respectful manner.
2. Responsible for clerical functions, including mail processing, recording incoming transactions, photocopying, filing, faxing and data entry.
3. Responsible for answering phone calls, chats, and other modes of customer communication, and serving as office receptionist, including providing clients with program information and referrals.
4. Responsible for scheduling a variety of appointments and preparing the related forms and materials.
5. Provide eligible clients and customers with program services as needed and as directed.
6. Handle sensitive information with confidentiality.
7. Maintain and update all relevant program forms.
8. Responsible for maintaining an adequate filing system and distributing mail as directed.
9. Demonstrate professionalism, adaptability, and teamwork.
10. Complete all required trainings and compliance activities.
11. Other duties as assigned.

Physical Demands:

1. Must be available to perform the essential functions of the job whenever scheduled to work.
2. Must be able to move about the office to collaborate with staff, meet with customers and visitors, and operate common office equipment.
3. Must be able to remain in a stationary position to work on a computer and answer phones.
4. Must be able to pick up and hold documents and other common office items.
5. Must be able to communicate and converse with customers, coworkers, and visitors to implement the mission of the Agency.
6. Must be able to operate a computer to record and report data and to communicate with staff, customers, volunteers, and community partner.

7. Must be able to use a telephone to communicate effectively with customers, coworkers, and community partners.
8. Must be able to operate a motor vehicle to provide administrative duties such as going to the post office, shopping for needed supplies, and traveling to trainings or meetings.
