Full Job Description

Office & Dispatch Coordinator

We are looking for a reliable, organized Office & Dispatch Coordinator to support our service technicians, installation teams, and customers. This role is a key part of our daily operations and requires strong communication, attention to detail, and the ability to manage multiple priorities in a fast-paced office environment.

Established in 1969, we have been providing expert advice, unbeatable workmanship, and unparalleled customer service to the residents of the Gogebic-Iron range and surrounding communities.

Primary Responsibilities:

Provide top-notch customer support for inbound and outbound calls.
Coordinate between customers and technicians to schedule HVAC service calls, tune ups, and estimates.
Dispatch technicians to service calls.
Assist with billing and invoices.
Greet and assist in-person customers.
Register installed equipment with warranty companies and email/mail confirmations to customers.
Enter customer new installations into internal dispatch software.
Complete and file rebate applications.
Maintain and organize installation books.
Print, file, scan, and organize office documentation.
Provide other general administrative support as needed.

Qualifications:

Requires a high school diploma.
Must pass background screens.
Possess a positive attitude, exceptional customer service skills, and advanced critical thinking skills.
Team player that blends well with a fast-paced, goal-driven environment.
Strong organizational and time-management skills that can work independently, with minimal guidance.
Ability to multitask and adapt to changing priorities.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Experience with CRM software a plus.
High attention to detail, especially with rebates and warranties.
Ability to handle payments and sensitive customer information responsibly.
Previous HVAC, construction, or service-based office experience preferred.

Compensation: $17-$22/hour. The employee's overall wage is relative to performance in position responsibilities and periodically evaluated on a merit basis.

Schedule: Full-time, 32-40 hours weekly
