Position Summary

ThirtyOne Labs is seeking a highly organized, detail-oriented Executive Assistant & Accounting Coordinator to support the CEO and Executive Leadership Team while providing accounting and operational support across the organization.

This role serves as a trusted administrative partner to senior leadership and plays a critical role in supporting financial operations, cost accounting processes, reporting, and cross-functional coordination. The ideal candidate has strong executive support experience, a solid accounting foundation, and the ability to thrive in a fast-paced, high-growth environment.

Key ResponsibilitiesExecutive & Leadership Support

Provide direct administrative support to the CEO and Executive Leadership Team
Manage calendars, scheduling, travel arrangements, meetings, and executive communications
Prepare reports, presentations, meeting agendas, and follow-up action items
Coordinate internal and external communications on behalf of leadership
Assist with special projects, strategic initiatives, and cross-departmental coordination
Serve as a liaison between executives and internal teams

Accounting & Financial Support

Support the Controller and Accounting team with daily accounting functions
Assist with accounts payable, accounts receivable, invoicing, purchase orders, and credit memos
Maintain accurate financial records and supporting documentation
Assist with cost accounting activities, including inventory costing, manufacturing cost tracking, and variance reporting
Support month-end close processes and financial reporting preparation
Enter and reconcile accounting transactions in QuickBooks or other accounting systems
Assist with budget tracking and operational expense reporting

Operations & Administrative Support

Support sales order management and order tracking
Assist with inventory reporting, turnover sheets, and operational documentation
Process and manage Shopify fulfillment orders as needed
Maintain organized records across departments
Assist with compliance-related documentation and reporting
Support operational, logistics, and administrative projects as needed

QualificationsRequired

Associate's degree in Accounting, Finance, Business Administration, or related field preferred
3+ years of executive support, accounting, bookkeeping, or administrative experience
Strong accounting background with experience in cost accounting, inventory accounting, or manufacturing accounting preferred
Working knowledge of QuickBooks or similar accounting software
Proficiency in Microsoft Excel, Microsoft Office, and Google Workspace
Exceptional organizational, time management, and multitasking skills
Strong attention to detail and accuracy
Excellent written and verbal communication skills
Ability to handle confidential information with professionalism and discretion

Preferred

Experience in manufacturing, CPG, cannabis, distribution, or other inventory-driven industries
Experience with cost accounting, inventory valuation, and manufacturing reporting
Familiarity with METRC, Distru, or similar inventory/compliance platforms
Experience supporting C-level executives or senior leadership teams
Experience with ERP or inventory management systems
