Overview

We are seeking a highly organized, detail-oriented Bookkeeper / Customer Operations Coordinator to join our growing team. The ideal candidate will be responsible for maintaining accurate financial records, processing transactions, managing customer orders, monitoring inventory, and supporting day-to-day accounting and operational activities.

This position plays a critical role in ensuring the accuracy of our financial records, inventory, customer pricing, and order fulfillment. The successful candidate will work closely with customers, vendors, warehouse staff, and management while utilizing Zoho Inventory to keep business operations running efficiently.

This is an excellent opportunity for someone who enjoys working in a fast-paced environment, is highly organized, communicates professionally, and takes pride in accuracy.

Responsibilities

Utilize Zoho Inventory to process invoices, enter data, and maintain accurate inventory and financial records.
Process customer orders from receipt through invoicing.
Communicate with customers via phone and email regarding order status, product availability, shipping updates, backorders, pricing, and general order inquiries.
Verify customer pricing and ensure invoices accurately reflect approved pricing before orders are finalized.
Maintain and reconcile inventory records, investigate inventory discrepancies, and assist with inventory counts.
Generate reports and assist with summarizing financial performance, inventory levels, sales trends, and operational data.
Conduct account analysis and resolve discrepancies in financial records.
Maintain accurate accounts payable and accounts receivable records.
Prepare and process vendor purchase orders and assist with vendor order management.
Coordinate with warehouse personnel to ensure customer orders are processed accurately and shipped on time.
Ensure financial records and inventory records are complete, accurate, and maintained according to company policies.
Support month-end and year-end closing activities.
Identify opportunities to improve processes and operational efficiency.
Perform additional bookkeeping, customer service, inventory, and administrative duties as assigned.

Qualifications

Previous bookkeeping, accounting, customer service, or office administration experience preferred.
Experience with accounting or inventory management software (Zoho Inventory, Zoho Books, or similar ERP/accounting systems is highly preferred).
Experience processing customer orders and verifying invoice pricing.
Inventory management or inventory control experience is a plus.
Excellent customer service and professional communication skills.
Strong attention to detail with a high level of accuracy.
Excellent organizational, time management, and problem-solving skills.
Proficiency with Microsoft Excel and cloud-based business software.
Ability to multitask, prioritize work, and meet deadlines in a fast-paced environment.
Ability to work independently while collaborating effectively with multiple departments.

Preferred Qualifications

Experience with Zoho Inventory and/or Zoho Books.
Experience in wholesale, distribution, inventory management, or consumer packaged goods (CPG).
Knowledge of inventory reconciliation, purchasing, and order fulfillment.
Experience communicating with customers regarding orders and resolving order-related issues.
