Full Job Description

Position Summary

We are seeking a friendly, organized, and detail-oriented Receptionist / Office Administrator to be the front-line face and voice of Frechette Oil. This role combines customer service, billing, dispatching/routing of delivery drivers, bookkeeping support, and general office duties. The ideal candidate thrives in a fast-paced environment, enjoys helping customers, and can juggle multiple responsibilities with accuracy and a positive attitude.

Key Responsibilities

Answer and manage incoming phone calls in a professional, courteous manner; respond to customer inquiries about deliveries, billing, service, and general questions.
Greet and assist customers who visit the office in person.
Process customer billing, including preparing invoices, recording payments, and handling account inquiries or adjustments.
Route and dispatch oil truck drivers for daily delivery routes, coordinating schedules efficiently based on customer needs, weather, and priorities.
Perform general bookkeeping and office support tasks such as data entry, filing, record-keeping, and maintaining accurate customer and delivery records.
Assist with scheduling service appointments and coordinating between customers, drivers, and technicians as needed.
Maintain a clean, organized front office and ensure smooth daily office operations.
Handle other administrative duties and special projects as assigned.

Requirements

Strong customer service skills with a friendly, professional phone and in-person demeanor.
Excellent organizational and multitasking abilities; ability to prioritize in a busy office environment.
Basic bookkeeping or billing experience preferred; comfort working with numbers and accounts.
Proficiency with computers, including Microsoft Office (Word, Excel, Outlook) and general data entry.
Clear verbal and written communication skills.
Reliable, punctual, and detail-oriented with a strong work ethic.
Ability to learn company systems and procedures quickly.
High school diploma or equivalent required.

Preferred Qualifications

Previous experience in a receptionist, administrative, dispatch, or customer service role (oil/fuel, utility, or service industry experience is a plus).
Familiarity with billing software, accounting systems, or route dispatch tools.
Knowledge of the Mount Washington Valley / North Conway area.
Bookkeeping or basic accounting coursework/experience.

Pay: $20.00 - $23.00 per hour
