Job Summary

We are seeking an energetic and professional Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and support administrative functions to ensure smooth daily activities. Your positive attitude, organizational skills, and technical proficiency will help create a welcoming environment for clients, visitors, and team members alike. This paid position offers a dynamic work environment where your multitasking abilities and attention to detail will shine.

Duties

Greet visitors and clients warmly, ensuring a positive first impression at all times
Answer multi-line phone systems promptly and professionally, directing calls efficiently
Manage appointment scheduling and calendar coordination using productivity software and calendar management tools
Maintain organized filing systems, both digital and paper-based, for easy retrieval of documents
Support office management tasks including supply inventory, mail distribution, and basic clerical duties
Assist with client communication via phone, email, or in person to provide excellent customer support
Proofread correspondence and documents for accuracy before distribution
Utilize Microsoft Office applications (Word, Excel) to prepare reports, memos, and other documents
Demonstrate strong organizational skills to prioritize tasks efficiently in a fast-paced environmentExperience
Prior office experience or administrative support roles preferred but not required; training provided for the right candidate
Proven experience with multi-line phone systems and customer service roles that involve direct client interaction
Familiarity with office productivity software such as Microsoft Office Suite (Word, Excel) and spreadsheets is essential
Bilingual abilities are highly valued to assist diverse client needs effectively
Strong computer literacy including data entry, filing, proofreading, and general clerical tasks is necessary
Experience with QuickBooks or similar accounting software is a plus but not mandatory
Demonstrated organizational skills with the ability to manage multiple priorities efficiently
Excellent phone etiquette and communication skills to foster positive client relationships
