About the Position
Lewis Tax Firm, Inc. is seeking a dependable, organized, and professional Human Resources Coordinator to manage the day-to-day human resources functions for one of our business clients.
This is not simply an administrative position. The person selected for this role will have meaningful responsibility for recruiting, hiring, onboarding, employee records, payroll validation, policy administration, safety and compliance, employee relations, and other HR functions.
We are looking for someone who takes ownership of their responsibilities, communicates professionally, protects confidential information, follows established procedures, and is comfortable holding employees accountable to company policies.
The right candidate will be highly organized, detail-oriented, confident communicating with employees and management, and capable of managing multiple HR responsibilities without constant supervision.
Primary ResponsibilitiesRecruiting and Hiring
- Prepare and post job advertisements
- Recruit qualified candidates for open positions
- Review applications and resumes
- Conduct or coordinate initial candidate screening
- Schedule and assist with interviews
- Communicate with applicants throughout the hiring process
- Coordinate employment offers and pre-employment requirements
- Assist management in maintaining an effective recruiting pipeline
- Maintain accurate recruiting and applicant records
Employee Onboarding
- Coordinate the complete onboarding process for new employees
- Ensure all required new-hire documentation is completed accurately and timely
- Coordinate completion of Forms I-9, W-4, direct deposit, employment agreements, acknowledgments, and other required documents
- Ensure employees receive and acknowledge applicable company policies and procedures
- Coordinate required orientation, safety training, and other onboarding requirements
- Verify that employees are properly entered into applicable HR and payroll systems
- Maintain organized onboarding records and checklists
Employee Offboarding
- Coordinate employee separations and terminations
- Prepare and maintain separation documentation
- Ensure return of company property
- Coordinate termination of system and facility access
- Communicate employee status changes to the appropriate payroll and management personnel
- Maintain complete and accurate termination records
- Assist with unemployment documentation and other post-employment matters when necessary
Employee Records Management
- Maintain accurate and confidential personnel files
- Maintain employment records, disciplinary documentation, policy acknowledgments, certifications, and other HR documentation
- Monitor missing or incomplete employee documents
- Maintain required records in an organized and accessible manner
- Protect confidential employee and company information
- Ensure sensitive records are handled in accordance with applicable company procedures
Payroll Validation
The HR Coordinator will play an important role in reviewing payroll information before processing.
Responsibilities may include:
- Reviewing employee time records
- Identifying missing, incomplete, or unusual time entries
- Validating employee pay rates and employment status
- Reviewing overtime
- Reviewing per diem and applicable reimbursements
- Confirming new hires and terminated employees
- Identifying payroll discrepancies before payroll is finalized
- Communicating payroll corrections to appropriate personnel
- Maintaining documentation supporting payroll changes and exceptions
This position requires a high level of attention to detail because payroll errors can have significant consequences for both employees and the company.
Policy Administration and Enforcement
- Help administer and enforce company policies
- Ensure employees receive and acknowledge applicable policies
- Document policy violations
- Coordinate disciplinary documentation
- Monitor compliance with company procedures
- Communicate policy requirements professionally and consistently
- Escalate significant violations or disciplinary matters to management
- Assist management with corrective-action documentation
- Help ensure policies are applied consistently throughout the organization
The individual in this position must be comfortable having professional but sometimes difficult conversations with employees.
Safety and Compliance
- Assist with administration of workplace safety requirements
- Maintain safety-related employee records
- Track required employee training and certifications
- Monitor expiration dates for required certifications when applicable
- Maintain documentation concerning workplace incidents
- Assist with workers' compensation documentation and reporting
- Help coordinate required safety meetings, acknowledgments, and training
- Identify missing compliance documentation and follow up until corrected
- Work with management to improve compliance with established safety procedures
Because the employees supported by this position may perform field and construction-related work, safety documentation and compliance will be an important part of this role.
Attendance, PTO, and Leave Administration
- Maintain attendance information
- Track PTO requests and usage
- Maintain documentation concerning absences
- Coordinate leave requests with management
- Assist with administration of applicable protected leave requirements
- Communicate attendance and leave information to management and payroll personnel
Employee Relations
- Respond professionally to routine employee HR questions
- Assist employees with understanding company policies and procedures
- Document employee complaints and workplace concerns
- Maintain appropriate confidentiality
- Escalate significant employee-relations matters to management
- Assist with documentation of workplace investigations when directed
- Help maintain professional communication between employees and management
HR Reporting and Administration
- Maintain employee lists and HR records
- Track hiring and employee separations
- Prepare HR information and reports requested by management
- Assist with unemployment claims
- Assist with workers' compensation administration
- Complete employment verifications when authorized
- Assist with benefit-related administration
- Maintain HR calendars, deadlines, and compliance dates
- Perform additional human resources and administrative duties as assigned

- Construction or field-service HR
- Employee records administration
Formal HR experience is preferred, but we will consider an exceptional candidate with strong administrative, payroll, management, or compliance experience who demonstrates the ability to learn quickly.
Compensation
$18.00–$20.00 per hour
Starting compensation will be determined based on experience, qualifications, and demonstrated ability.
This is intended to be a full-time position.
