Job Summary

We are seeking a dynamic and highly organized Executive Administrative Assistant to join our team. This vital role involves providing comprehensive administrative support to senior executives, ensuring smooth daily operations, and maintaining an efficient office environment. The ideal candidate will demonstrate exceptional organizational skills, technical proficiency, and a proactive attitude to manage a wide array of clerical and administrative tasks with enthusiasm and professionalism. This position offers an exciting opportunity to be an integral part of a fast-paced, growth-oriented organization dedicated to excellence and innovation.

Duties

Manage complex calendars, schedule appointments, and coordinate meetings for executives with precision and attention to detail.
Handle multi-line phone systems, screen calls, take messages, and direct inquiries efficiently while maintaining excellent phone etiquette.
Prepare, proofread, and format documents using Microsoft Office suite including Word, Excel spreadsheets, and other productivity software to ensure accuracy and professionalism.
Organize files, maintain records, and perform data entry tasks accurately within various systems such as Microsoft or other office management tools.
Support client communication by responding promptly to emails and phone inquiries, providing exceptional customer service and support.
Assist with office management duties including supply ordering, filing systems organization, and front desk responsibilities to create a welcoming environment.
Coordinate travel arrangements, calendar management, and personal assistant tasks for executives to optimize their productivity.

Qualifications

Proven experience in office management or administrative roles with a strong background in clerical work and customer support.
Excellent computer literacy with proficiency in Microsoft Office (Word, Excel), data entry, spreadsheets, and productivity software.
Strong organizational and communicationskills with the ability to prioritize tasks effectively in a fast-paced environment.
Exceptional attention to detail for proofreading documents and managing filing systems accurately.
Strong time management skills with the ability to handle multiple tasks simultaneously while maintaining high productivity levels.
Previous experience as a personal or executive assistant is preferred; familiarity with calendar management is essential.
