Full Job Description

Administrative Support Assistant

Location: Remote
Reports To: Executive Director
Position Type: Full-Time/Remote | Travel: Up to 50%

Position Summary

The Administrative Support Assistant provides direct support to the Executive Director and assists with the daily administrative operations of IC&RC. This role is responsible for coordinating schedules, preparing documents, maintaining records, supporting internal operations, and assisting with special projects and organizational initiatives.

The ideal candidate is organized, detail-oriented, professional, and able to manage multiple priorities in a fast-paced environment. This position plays an important role in helping the Executive Director remain focused on strategic priorities while supporting efficient day-to-day operations across the organization.

Key Responsibilities

Provide direct administrative support to the Executive Director
Manage calendars, schedule meetings, and coordinate appointments
Arrange travel accommodations and prepare itineraries as needed
Prepare correspondence, reports, meeting materials, and presentations
Maintain organized electronic and physical filing systems
Assist with document management and record retention
Support accounts receivable follow-up and administrative tracking
Monitor incoming emails and assist with follow-up communication
Coordinate internal meetings and assist with board and committee logistics
Assist with basic website content updates and coordination with vendors as needed
Provide administrative support to other departments and staff, as needed, to help ensure continuity of operations and organizational support
Support special projects and operational initiatives
Maintain confidentiality with sensitive organizational and personnel matters
Perform other administrative duties as assigned

Qualifications

Bachelor’s degree preferred; equivalent combination of education and relevant professional experience will be considered
Two or more years of administrative support experience preferred
Strong organizational and time management skills
Excellent written and verbal communication skills
Proficiency in Microsoft Office, including Outlook, Word, Excel, and PowerPoint
Comfortable working with online systems, databases, and website platforms
Ability to prioritize tasks, manage deadlines, and work independently
Professional demeanor and strong attention to detail
Experience supporting executive leadership preferred

Compensation

Compensation for this position ranges from $35,000–$45,000 annually and includes a strong benefits package and opportunities for professional growth.
