7:45 am-Noon
Sundays- Closed
We are a full-service, veterinary practice with two locations looking for a dependable, upbeat, self-motivated individual to join our team. This is a fast-paced environment that requires the ability to work with patience, empathy, composure, attention to detail, a team-based mindset, and of course, a good sense of humor. Although knowledge of the veterinary industry is preferred, it is not a requirement. The Lead Front Office Coordinator is a leader and an integral member of the hospital leadership team. The Lead Front Office Coordinator supports and partners with the Hospital Manager and Managing Veterinarian to provide smooth operations while fostering a hospital culture based on high quality patient care and exceptional customer service. The Lead Front Office Coordinator works a schedule necessary to accomplish all tasks of this position, generally 40 hours per week. This position reports to Hospital Manager.
Job Duties and Responsibilities
Leadership and Planning
* Leads front office team to manage the hospital appointment schedule maximizing appointments, ensuring scheduling accuracy, and excellent customer service.
* Participates in the monthly and quarterly staff meeting planning.
* Conducts team member one on ones and helps establish and support goals for the practice and staff.
* Acts as a champion for change and identifies, documents, shares, and promotes best practices
Operations
* Educates employees on hospital financial policies and procedures, medical protocols, and client compliance program responsibilities.
* Performs quality checks and reviews of client files.
* Monitors computer systems and works with HelpDesk to resolve technical systems/equipment issues.
People Management
* On-board new employees and participates in the selection process.
* Completes employee orientation and training.
* Coaches and mentors employees and identifies continuous learning and skill building needs.
Client Service
* Drives client visits through strategic client communication and marketing efforts set forth by Hospital Management Team.
* Trains staff on client service initiatives and uses client visit growth best practices.
* Manages client relationships; effectively resolves client issues and escalations.
* Oversees client follow-up procedures, including reminders and call backs.

- Telephone etiquette

- Execute a calm demeanor, during High Volume times
- Basic computer skills (Microsoft Office, E-mail, and AVImark experience is a bonus)

- Strong organizational skills with the ability to multi-task and still pay attention to details
- Be open and willing to changes made within the clinic
- Applicants also must be able to lift up to forty pounds
- Team Management/leadership experience preferred, not required

Work Location: In person
