Job Summary

We are seeking a dynamic and detail-oriented Bookkeeper/Administrative Assistant to join our team. This role combines essential bookkeeping responsibilities with administrative support duties, ensuring smooth office operations and accurate financial record-keeping. The ideal candidate will be proactive, highly organized, and possess excellent communication skills to manage multiple tasks efficiently. You will play a vital role in maintaining financial accuracy, supporting client interactions, and streamlining daily office functions to foster a productive work environment.

Responsibilities

Manage day-to-day bookkeeping using QuickBooks, including invoicing, expense tracking, and bank reconciliations
Maintain accurate financial records through diligent data entry and spreadsheet management
Handle front desk duties such as greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
Support office management tasks including filing, document proofreading, and organizing office supplies
Provide excellent customer service by responding promptly to client inquiries via phone or email and supporting client communication efforts
Utilize Microsoft Office Suite and Google Workspace for word processing, creating reports, and managing spreadsheets to enhance productivity

Experience

Proven office experience with strong clerical skills and familiarity with administrative procedures
Prior bookkeeping experience using QuickBooks or similar accounting software is highly preferred
Demonstrated ability to handle multi-line phone systems and provide exceptional customer support
Bilingual proficiency is a plus to effectively communicate with diverse clients and team members
Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
Technical proficiency in Microsoft Office applications, Google Workspace, data entry, and computer literacy is essential for success in this role
