Job Overview

We are seeking a highly organized and proactive Executive Assistant to support senior leadership and ensure the smooth operation of daily office functions. This dynamic role requires a detail-oriented professional with exceptional communication skills, technical proficiency, and the ability to manage multiple priorities efficiently. The ideal candidate will thrive in a fast-paced environment, demonstrating strong organizational abilities and a positive attitude to facilitate seamless executive support and office management.

Duties

Manage complex calendars, schedule appointments, and coordinate meetings for executives with precision and attention to detail.
Handle incoming calls using multi-line phone systems, directing inquiries professionally and courteously while maintaining excellent phone etiquette.
Prepare, edit, and format documents using Microsoft Office Suite, including Word processing, spreadsheets, and productivity software to support administrative tasks.
Conduct data entry and maintain accurate filing systems, ensuring all records are organized and easily accessible.
Assist with office management duties such as ordering supplies, overseeing office equipment, and maintaining a professional front desk presence.
Support client communication efforts by providing exceptional customer service and support via phone or email.
Utilize technical skills in Excel for bookkeeping tasks and manage invoices or expense reports as needed.

Skills

Proven experience in office management or administrative support roles with strong clerical skills.
Excellent computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and familiarity with productivity software.
Strong organizational skills with the ability to prioritize tasks effectively and manage time efficiently.
Bilingual abilities are highly desirable to assist diverse client needs and enhance communication.
Demonstrated experience with data entry, filing systems, and document preparation.
Exceptional customer service skills combined with professional phone communication and etiquette.
Technical proficiency in office equipment such as multi-line phone systems, scanners, copiers, and basic accounting software like QuickBooks.
Personal assistant experience or previous roles involving calendar management and scheduling coordination are advantageous.
