Full Job Description

Job Summary
The Catholic Parish in Junction City, is seeking a highly organized and proactive Office Manager to oversee the daily operations of the parish office. This position offers an opportunity to contribute to the spiritual and community life of the parish while maintaining a well-organized office environment.

Parish

Approve and handles all facility-use requests.

Assist with paperwork/invoices for repairs and improvements.

Responsible for recruiting, training, and scheduling volunteers as Money Counters for weekend collections.

File the Official Catholic Directory report (verifies we are a 501c tax exempt).

Greets all guests and accommodates their requests; always gracious and kind to visitors.

Accounting

Keep financial records of the parish and prepare in a timely manner, reports for the Parish Finance Council

Record receipts and disbursements;
Prepares bank deposits;
Reconcile bank statement(s); manages cash flow
Send monthly reports to of the Finance Council chair and members prior to meeting
Enter all contributions, special collections, and other incoming revenue into the computer and furnishing parishioners with end of the year contribution statements
Manages the budget process
Prepares reports and is the liaison for the Diocese
Prepares PO and reconciles receipts and pays all bills, tracks inventory and places supply orders (Office and Liturgy – host, wine, lector workbooks, missalettes, etc)
Oversees liability, property, fleet, workman’s compensation, insurance policies
Set up parishioners ACH for tithing; print monthly report for posting

Keep financial record for any campaign(s) and report to Parish Finance Council

o Record pledges and receipts in database and printout a posting report

o Reconciles tithing envelopes pledges and payments reconciled in the softward.

o Prepare bank deposits of cash received; Reconcile bank statement.

o Prepare cash flow report quarterly to submit to the diocese.

o Monitor expenses on project, pay bills, make loan request from diocese.

o Send communication as approved by Pastor.

Meeting Visitors

Manage daily office operations, including front desk duties, filing, and handling multi-line phone systems
Handles calendar meetings and appointments
Ensure effective communication within the parish community through phone etiquette and clear correspondence
Fulfill office procedures efficiently, elevating when needed.
