Overview

We are seeking a dynamic and detail-oriented Front Desk Medical Receptionist to join our healthcare team. This vital role serves as the first point of contact for patients and visitors, ensuring a welcoming environment while managing administrative and clinical support tasks with professionalism and efficiency. The ideal candidate will demonstrate excellent communication skills, a strong understanding of medical administrative procedures, and a passion for providing exceptional patient service. This position offers an exciting opportunity to contribute to a busy medical practice, supporting both clinical operations and patient care coordination.

Duties

Greet patients and visitors warmly, ensuring a positive first impression while managing check-in and check-out processes efficiently.
Schedule patient appointments accurately using EMR (Electronic Medical Records) eClinicalWorks, coordinating with clinical staff to optimize daily workflow.
Verify patient insurance coverage, process payments, and handle collections related to medical billing and copayments, including Medicare and Medicaid claims.
Manage electronic health records (EHR) systems by updating patient information, reviewing documentation for accuracy, and maintaining confidentiality in accordance with HIPAA regulations.
Answer incoming phone calls with professional phone etiquette, addressing patient inquiries, scheduling requests, and routing calls appropriately.
Prepare and review clinical documentation, including care plans, CPT (Current Procedural Terminology) codes, ICD (International Classification of Diseases) codes such as ICD-9/10, ensuring accurate coding for billing purposes.
Maintain organized medical records through filing, data entry, and electronic health records management while adhering to clinical confidentiality policies.
Assist with medical administrative support tasks such as data entry using Microsoft Office tools, typing reports, and performing 10-key typing duties efficiently.
Support clinic operations by coordinating with healthcare providers on patient flow and managing appointment schedules to reduce wait times.
Uphold excellent customer service standards by addressing patient needs promptly while maintaining professionalism in all interactions.

Qualifications

Proven experience as a medical receptionist or in a similar front desk role within a healthcare setting; clinic experience preferred.
Strong knowledge of EMR/EHR systems such as Epic, Meditech, Athenahealth or eClinicalWorks; familiarity with electronic health records management is essential.
Comprehensive understanding of medical terminology, health insurance procedures, medical billing processes, and health information management.
Experience with medical coding including CPT coding and ICD coding (ICD-9/10), along with familiarity with Medicare policies is highly desirable.
Excellent computer skills including proficiency in Microsoft Office Suite; ability to perform 10-key typing accurately and swiftly.
Exceptional communication skills—bilingual abilities are a plus—and outstanding phone etiquette for engaging with diverse patient populations.
Ability to handle sensitive information confidentially in compliance with HIPAA regulations; strong attention to detail in documentation review.
Office experience in a healthcare environment combined with clerical experience supporting medical office operations is preferred.
Demonstrated organizational skills with the ability to multitask effectively in a fast-paced environment while maintaining high levels of accuracy.
